Upload your bank statement

Square connects to QuickBooks Online through the Connect to Square app, but that app imports your sales, not your bank activity: it posts sales receipts and grouped deposits, and if the bank account those deposits land in also syncs, the same revenue gets counted twice and inflates your profit and loss. For clean reconciliation of the money that actually moved, upload a Square statement at the top of this page and get a QuickBooks-ready file.

The converter turns a Square statement PDF, whether a Square Checking statement or a payout and transfer report, into a .qbo Web Connect file that imports into QuickBooks Online or QuickBooks Desktop, plus matching Excel and CSV copies. Every transaction keeps its date, description, and amount, and the parsed total is checked against the statement total before you export. This page covers how Square connects to QuickBooks, why sales duplicate, and how to import the file.

A real .qbo file QuickBooks accepts

Built for the statements US banks actually send, checked before it exports.

Reconciliation

Every total checked against the statement

The converter adds up the transactions it parsed and matches that to the statement total before you export, so nothing is silently dropped.

Web Connect

A genuine .qbo, not a renamed CSV

Valid OFX 1.02 with QuickBooks Web Connect headers. Online and Desktop import it as a standard bank feed.

OCR

Scans and phone photos read line by line

OCR runs before parsing, so a scanned or photographed paper statement comes out the same as a digital PDF.

Volume

A year of statements in one batch

Bulk upload for catch-up and cleanup work. Each file gets its own reconciliation check and its own exports.

Locked files

Password-protected PDFs handled

Enter the password on upload. Multi-column and multi-page statement layouts are parsed too.

Exports

Excel and CSV in the same download

One conversion, three files: the .qbo for QuickBooks, an XLSX to review, and a CSV for everything else.

How to convert your statement to QuickBooks

Three steps. No column-mapping wizard.

1

Upload the PDF statement

Drag in a PDF, a scan, or a phone photo. Password-protected and multi-page files are fine.

2

Review the reconciled rows

Every transaction is extracted and checked against the statement total. You see the parsed rows before exporting.

3

Import into QuickBooks

Download the .qbo and import it as a Web Connect bank feed. Excel and CSV are in the same download.

How do I connect Square to QuickBooks Online?

Install the Connect to Square app from the QuickBooks Online Apps menu, sign in to Square, and authorize it. The app imports sales from all your locations as sales receipts with matching deposits, fees, taxes, and discounts, and you map them to QuickBooks accounts. It handles revenue, so it does not bring in your Square account's other money movement.

Why does Square duplicate or inflate sales in QuickBooks?

Duplication happens when both the Connect to Square app and the bank account where Square deposits land are synced to QuickBooks. The app records the sale and the bank feed records the deposit, so the same money appears twice and overstates income on the profit and loss. Reconciling from one converted statement avoids the double count.

Does Square import bank transactions or just sales into QuickBooks?

Just sales. The Connect to Square app is built around revenue: sales receipts, fees, and grouped deposits, not a transaction-by-transaction bank feed. Square Checking and Savings activity, transfers, card spend, and loan repayments are not what the app reconciles. To get that money movement into QuickBooks, convert the Square statement to a .qbo.

How do I reconcile Square deposits in QuickBooks?

Match each Square payout to the deposit in your checking account rather than syncing sales twice. Square batches several sales into one payout, so the deposit amount rarely equals a single sale. Converting the Square Checking or payout statement to a .qbo gives you dated, itemized transactions you can match to the bank and reconcile to the closing balance.

Is Square a bank?

Square itself is a payments product of Block, Inc., not a bank, but Square Banking deposits, Square Checking and Savings, are held through Square Financial Services, Inc., Block's FDIC-insured industrial bank, or partner banks. That makes a Square Checking statement a real bank statement, and the converter reads it the same way it reads any bank PDF.

How do I download a Square statement as a PDF?

Sign in to your Square Dashboard, open Balance or Square Checking, and go to Statements or Documents. Choose the month and download the statement as a PDF. For payouts, the Transfers or Balance report exports the same activity. Save the periods you still need in QuickBooks and upload each one to the converter above.

How do I import a Square statement into QuickBooks?

Convert the Square PDF to a .qbo with the tool above, then import it. In QuickBooks Online, go to Transactions, then Bank transactions, then Upload from file, and select the .qbo. In QuickBooks Desktop, use File, Utilities, Import, Web Connect Files. Assign the transactions to your Square account and they enter the review queue.

Does Square work with QuickBooks Desktop?

The Connect to Square app is built for QuickBooks Online, so Desktop users cannot use it to sync sales. A converted .qbo works either way: it imports into QuickBooks Desktop through File, Utilities, Import, Web Connect Files, and into QuickBooks Online through Upload from file, covering any Square statement period the live app does not reach.

How far back can I get Square transactions into QuickBooks?

The Connect to Square app imports recent sales from around the date you connect and does not backfill years of history, so older periods stay out of QuickBooks. If you are catching up books, switching bookkeepers, or closing a prior year, convert each Square statement to a .qbo and import the full period with nothing dropped.

Should I connect both Square and my bank account to QuickBooks?

Generally no, not for the same money. If the Connect to Square app and the bank account that receives Square payouts both sync, you double-count income. Connect the bank account only if it holds non-Square transactions, and reconcile Square's own activity from a converted statement so each payout is recorded once and matches the deposit on your bank line.

What does a Square statement look like to the converter?

A Square Checking or balance statement lists payouts, transfers, card spend, fees, and any loan activity in date order with a description and amount, plus opening and closing balances. The converter ignores the summary panels and branding, so only real transactions reach your .qbo. It reads native downloads and scanned PDFs through OCR the same way.

How accurate is the converted Square file?

Accuracy matters most, because a converter that drops or misreads a transaction costs more time than it saves and shows up at reconciliation. This tool totals the transactions it parsed and checks that figure against the statement total before you export, so the .qbo reflects every line Square printed. You review the parsed rows, then export once they tie out.
