Install the Connect to PayPal app from the Apps menu inside QuickBooks Online, sign in to PayPal, and authorize the link. The app then imports sales, fees, and expenses into a dedicated PayPal Bank account in QuickBooks and refreshes about every three hours. You review and categorize the transactions in the bank feed like any other connected account.
On first setup the app imports only a limited history, commonly a few months from the start date you pick, and the PayPal connector tops out around the prior 18 months to 2 years. It will not backfill several years of PayPal activity. To bring older history into QuickBooks, convert each monthly PayPal statement to a .qbo and import it.
The Connect to PayPal app sets up its own PayPal Bank account and records each sale as a deposit with the PayPal fee pulled out as a separate expense, so one payment becomes two or more lines. That is accurate but cluttered and hard to reconcile against a clean statement. A converted .qbo posts the transactions the way the statement lists them.
No. The Connect to PayPal app does not support multi-currency transactions or their reconciliation, so cross-border sellers who take payment in euros, pounds, or other currencies see those transactions handled poorly or skipped. The Connect to PayPal app does not work with QuickBooks Self-Employed, and Desktop users cannot use the Online-only app either. A converted .qbo solves both: it imports into QuickBooks Desktop through File, Utilities, Import, Web Connect Files, and the Excel and CSV copies cover Self-Employed and any other tool the live PayPal integration does not reach.
Log in to paypal.com, open Activity, then Statements, or go to Reports and choose Account Statement for the month or date range you need, and download it as a PDF. PayPal Business accounts provide monthly statements covering payments received, withdrawals, fees, and transfers. Save the periods you still need in QuickBooks and upload each to the converter above.
Convert the PayPal PDF to a .qbo with the tool above, then import it. In QuickBooks Online, go to Transactions, then Bank transactions, then Upload from file, and select the .qbo. PayPal lets you download activity as a CSV from the Activity page, but a CSV does not post itself into QuickBooks; you map columns and add each row by hand, and fees and currency get messy. No. PayPal is a licensed money transmitter, not a chartered bank. Balances sit in PayPal accounts backed by partner banks, PayPal Savings is provided through Synchrony Bank, and the PayPal Business Debit Mastercard is issued by The Bancorp Bank. Because it is not a bank, its QuickBooks connection behaves differently from a normal bank feed, which is why the statement-to-.qbo route is reliable.
A PayPal statement lists each payment, refund, withdrawal, transfer, and fee in date order with a description and amount, plus opening and closing balances for the period. The converter ignores the summary panels and account details, so only real transactions reach your .qbo. It also reads scanned or exported PDFs through OCR the same way it reads a native download.
