To reclassify transactions in bulk in QuickBooks Online, you need QuickBooks Online Accountant or QuickBooks Online Advanced. Open the Accountant Tools (briefcase) menu in QBO Accountant, or go to Settings, Dimensions in Advanced, then select Reclassify transactions, filter the transactions you want, choose a new account, class, or location, and select Reclassify. In QuickBooks Desktop, the same batch tool lives under the Accountant menu, Client Data Review. Regular QuickBooks Online has no batch tool, so you change a category by opening each transaction.

Reclassifying moves already-recorded transactions to the correct account or class without re-entering each one. How do I reclassify transactions in QuickBooks Online?

The batch Reclassify Transactions tool is only in QuickBooks Online Accountant and QuickBooks Online Advanced. In QBO Accountant, open the client, click the Accountant Tools briefcase icon, and choose Reclassify transactions. In Advanced, go to Settings, Dimensions, then Reclassify transactions. Filter by date, type, and account, select the transactions, pick the new account or class, and select Reclassify.

Is there a batch tool to reclassify multiple transactions in QuickBooks?

Yes, but only in specific editions. The batch Reclassify Transactions tool ships with QuickBooks Online Accountant and QuickBooks Online Advanced, and with QuickBooks Desktop Accountant and Enterprise. Simple Start, Essentials, and Plus do not include it, so users on those plans have to open and edit each transaction one at a time or use bank rules going forward.

Can you reclassify transactions in QuickBooks Online Essentials or Plus?

No, not in bulk. Essentials and Plus do not include the batch Reclassify Transactions tool, which is limited to Accountant and Advanced. On those plans you change a transaction's account by opening it, picking the correct Category, and saving, or by going to the Categorized tab in Bank transactions, selecting Undo, and re-adding the transaction with the right category.

How do I reclassify transactions in QuickBooks Desktop?

In QuickBooks Desktop Accountant or Enterprise, go to the Accountant menu and open Client Data Review, set the review date range, then run Reclassify Transactions. Select an account in the left pane, check the transactions to move, then tick Account to and choose the new account, and use Class to for a new class. You can change account and class at the same time, then select Reclassify.

What is the difference between reclassify and recategorize in QuickBooks?

Reclassify is the accountant batch tool that moves already-posted transactions to a new account, class, or location all at once. Recategorize usually means setting the Category on downloaded bank-feed transactions before you add them, on the For review tab, or fixing added ones via the Categorized tab. Inline bank-feed recategorizing is available to every QuickBooks Online user, while batch reclassify is not.

How do I change the category of multiple transactions at once in QuickBooks Online?

On the bank Transactions page you can select several For review transactions, set one Category, and add them together, which all QuickBooks Online plans allow. To change the category on transactions already posted to the books in bulk, you need the Reclassify Transactions tool in Accountant or Advanced. Without it, open each transaction, change the Category, and save individually.

What can the Reclassify Transactions tool change?

The tool reassigns selected transactions to a new account, class, or location. It does not change the customer or vendor name, and it cannot change the bank or credit card payment account used on an expense. You filter, select, pick the new account or class, and reclassify in one step, which is why accountants use it to fix a month of miscategorized entries quickly.

Why are some transactions greyed out and can't be reclassified?

Some transactions cannot be reclassified by design. Entries that use Accounts Receivable or Accounts Payable, like invoices and bills, inventory adjustments, payment accounts, and transactions linked to other transactions are all excluded. A browser cache problem can also grey out the option, so Intuit suggests trying an incognito window or clearing your cache if the tool looks disabled.

Can I reclassify a transaction that has already been reconciled?

You can, but be careful, because changing the account on a reconciled transaction can throw off that reconciliation. The safer path is to undo the reconciliation for that period first, reclassify the transaction, then reconcile again so your beginning balance stays correct. If you move a reconciled entry without checking, you may create a reconciliation discrepancy that you will have to chase down later.

Why is the Reclassify option missing from my menu?

If you do not see Reclassify transactions, your company file is not on an edition that includes it. In QuickBooks Online that means you are on Simple Start, Essentials, or Plus instead of Accountant or Advanced. In QuickBooks Desktop it means you are not in the Accountant or Enterprise edition. Upgrading the plan, or having your accountant run it from their QBO Accountant login, is the only way to get the tool.

Can I reclassify transactions that use Accounts Receivable or Accounts Payable?

No. Invoices, bills, and other transactions tied to Accounts Receivable or Accounts Payable cannot be reclassified the way a plain expense can. If you are moving a transaction into A/R or A/P, QuickBooks also requires you to assign a customer or vendor. For invoice and bill corrections, edit the source form directly rather than reaching for the batch tool.

How do bank rules help with categorizing transactions in QuickBooks?

Bank rules categorize incoming bank-feed transactions automatically so you reclassify far less later. In QuickBooks Online go to Transactions, Bank transactions, Rules, then New rule, set conditions, and assign the category, payee, and class. Matching transactions then download already categorized, which keeps the books clean and reduces the month-end cleanup the Reclassify tool exists to fix.

How far back can I reclassify transactions in QuickBooks?

You can reclassify transactions for any open period that is still in your books, as long as the transaction type is eligible. The practical limits are closed periods protected by a closing date and password, and reconciled entries that you should not move without undoing the reconciliation. If the transactions you need are older than your bank feed reached, you may have to import them first before you can categorize them.
