To split a bank transaction in QuickBooks Online, go to Transactions, Bank transactions, open the downloaded line on the For review tab, and click Split. Add a category and amount on each line, use Add line for more, and make sure the lines add up to the full transaction amount before you confirm. In QuickBooks Desktop, open the account register or a check, click the Splits button, and enter multiple accounts and amounts.
Splitting lets one bank charge or deposit hit several categories at once, like a warehouse-store receipt that covers supplies, food, and equipment. The total of the split lines always has to equal the transaction amount, or QuickBooks will not let you save it. You can split by dollar amount or by percentage, and you can split a transaction you already added by editing it.
How do I split a bank transaction in QuickBooks Online?
Open Transactions, then Bank transactions, and select the For review tab. Click the downloaded transaction to expand it, then click Split. Choose a category or account and enter an amount on the first line, click Add line for each additional category, and assign a customer if needed. When the lines total the full amount, select Apply and accept or Confirm.
Where is the Split button in QuickBooks Online?
The Split button appears when you open a downloaded transaction on the For review tab in Bank transactions. It sits next to the Categorize and Find match options inside the expanded row. It only shows on transactions that came in through the bank feed. Manually entered transactions do not have a Split button, so you split those on the form instead.
How do I split a transaction by percentage in QuickBooks Online?
Inside the Split window, use the Split by dropdown and choose Percentage instead of Amount. Enter a percent on each line, and QuickBooks calculates the dollar value automatically so the lines still total the transaction. Watch for rounding on odd amounts, since a penny difference will stop the split from balancing and block you from saving it.
Why don't my split amounts add up to the total in QuickBooks?
QuickBooks blocks a split when the lines do not equal the transaction amount, showing the message that your split amounts do not add up to the total specified. Check for a missing line, a typo, or a rounding gap from percentage splits. Adjust one line so the running total matches exactly, since the bank feed split will not accept a difference of even one cent.
Can I split a transaction that I already added or categorized?
Yes. Go to the Categorized or Reviewed tab in Bank transactions, open the transaction, and select Undo to send it back to For review, then split it. You can also open the saved expense or check from the register and split it directly on the form using the Category details lines. Either route lets you re-allocate a transaction you already accepted.
How do I split an expense or check across multiple accounts in QuickBooks Online?
Open the expense, check, or bill form with + New, then use the Category details section. Add a separate line for each account, enter the amount for each, and the lines together should equal the payment total. This is the form-based equivalent of the bank-feed Split button and works for transactions you enter manually rather than ones from the feed.
How do I split a transaction in QuickBooks Desktop?
Open the account register from the Chart of Accounts or Banking, Use Register, then select or create the transaction and click the Splits button. Enter each account and its amount on its own line. To split on a check or bill instead, use Write Checks or Enter Bills and add multiple lines on the Expenses tab. Use Recalc so the splits match the transaction total.
Can I split a bank transfer in QuickBooks?
No. A transaction categorized as a Transfer, or matched to a transfer between two accounts, cannot be split across categories at the same time. The Split tool allocates money to expense or income accounts, not to a transfer match. If part of a transaction is a transfer and part is a fee, record it manually so each piece lands in the right place.
How many lines can a split transaction have in QuickBooks?
There is no practical limit on split lines for everyday use. You can keep clicking Add line in QuickBooks Online or add rows in the Desktop Splits window for as many categories as the transaction touches. The only rule that matters is that every line totals back to the full transaction amount before you save.
Can I make a split bank transaction billable to a customer?
Yes, in QuickBooks Online you can assign a Customer or Project to each split line and tick the Billable box for that line. This lets one downloaded charge be split so part of it is billed back to a client while the rest stays as overhead. Make sure billable expenses are turned on in Account and settings first.
How do I create a bank rule that splits a transaction automatically?
In QuickBooks Online go to Transactions, Bank transactions, Rules, then New rule. Set your conditions, choose Split as the action, and use Add a split to define the categories and amounts or percentages. Matching transactions are then split the same way every time they download, which saves you from splitting recurring charges by hand each month.
Why is there no Split button on my transaction in QuickBooks?
The Split button only appears on transactions that came through the bank feed and are sitting on the For review tab. If you entered the transaction yourself, or it is already accepted, you will not see the button. Split a manually entered transaction on its expense or check form instead, or undo an accepted one to send it back to For review.
Clean splitting keeps your categories accurate, which makes month-end far easier. Once your downloaded lines are split correctly, learn to match transactions so you don't double-count, set up QuickBooks bank rules to automate the repetitive ones, and exclude transactions that don't belong. When the feed won't reach far enough back, you can import old statements by converting them first, then reconcile bank statements in QuickBooks. If you also work outside QuickBooks, you can convert statements to Excel, turn a CSV file into a .qbo, or pull line items off receipts and invoices automatically.
