To match transactions in QuickBooks Online, open the Transactions or Banking menu, go to the For Review tab, and look for lines marked Match, which means QuickBooks already found a transaction you entered that equals the downloaded one. Review it, then select Match to link them instead of creating a duplicate. In QuickBooks Desktop, downloaded items in the Bank Feeds Center show a green checkmark when they auto-match, and you confirm or change the match before adding.
Matching matters because it connects the transactions you already recorded to the lines your bank downloads, so you end up with one clean transaction instead of two. Get this wrong and your balance doubles, expenses and income inflate, and reconciliation stops working. QuickBooks treats a line as a match when the amount is the same and the dates are within about 90 days of each other. What does match mean in QuickBooks?
Match means QuickBooks found a transaction already in your register that equals the line your bank downloaded, so it links the two into one instead of creating a new record. You see this on the For Review tab when a downloaded line lines up with an invoice, expense, deposit, or check you already entered. Selecting Match confirms the link and clears that line from review.
What is the difference between match and add in QuickBooks?
Match links a downloaded line to a transaction that already exists in your books, while Add creates a brand new transaction from the bank's information. Use Match when you already recorded the bill, invoice, or deposit, and use Add only when the transaction is not in QuickBooks yet.
