Which QuickBooks editions have Batch Enter Transactions?
Only QuickBooks Desktop Accountant and QuickBooks Enterprise include Batch Enter Transactions. QuickBooks Desktop Pro and Premier do not have it, and neither does QuickBooks Online. What transaction types can I batch enter in QuickBooks Desktop?
The Batch Enter Transactions window supports Checks, Deposits, Credit Card Charges, Credit Card Credits, Invoices, Credit Memos, Bills, and Bill Credits. You pick one type per batch and one account, then paste all the rows of that type together. To enter a different type, finish the current batch, then change the Transaction Type dropdown and start a new paste.
How do I paste transactions from Excel into QuickBooks Desktop?
Set up your Excel columns in the same order as the Batch Enter Transactions grid, usually date, number, payee, account, amount, and memo. Highlight the data rows, right-click, and select Copy. In QuickBooks, right-click the first Date field and select Paste. The rows fill the grid in one step, which is far faster than keying each transaction by hand.
Why do some entries turn red in Batch Enter Transactions?
Details show in red when the name or account you pasted does not yet exist in the company file. Select the red item and choose Quick Add to create it, or Set Up to add full details. How many transactions can I batch enter at once?

Paste the charges from your spreadsheet with positive amounts, and use Credit Card Credits for refunds. What if my bank will not give me a file to import?
Many banks only let you download the last 90 days of activity, and some only offer PDF statements. When you cannot get a CSV or .qbo file for the period you need, convert the PDF bank statement into a .qbo file and import that. It is the practical way to load older transactions in bulk without typing every line into a register.
Batch entry and bulk import both depend on having a clean file to load. When your bank only offers PDFs or stops at 90 days, import old bank statements into QuickBooks by converting them to .qbo first, then reconcile bank statements in QuickBooks so the totals tie out.
