Reconciliation is the check that proves your books match the bank. You compare what QuickBooks recorded against the official statement, line by line, and the account is reconciled only when the two agree to the penny. Most of the time it goes smoothly. The trouble starts when the difference sits at some stubborn number that is not zero, and you are left hunting for which transaction is wrong, doubled, or simply not there.
The single most common reason a reconciliation will not balance is a transaction that is on the statement but not in QuickBooks. The live bank feed only reaches back about 90 days, so any month earlier than that often never made it in, and a feed that silently dropped for a few weeks leaves a hole nobody notices until reconciliation time. In QuickBooks Online go to Settings, then Reconcile, or open Transactions and select Reconcile. Pick the account, enter the Ending balance and Ending date from your bank statement, and select Start reconciling. Check off each transaction that matches the statement until the Difference shows $0.00, then select Finish now.
In QuickBooks Desktop open the Banking menu and select Reconcile. Choose the account, enter the Statement Date and Ending Balance, and add any service charge or interest the bank lists. Mark every transaction that cleared the statement until the Difference is 0.00, then select Reconcile Now to save the report.
A bank account will not reconcile when the difference between the statement and QuickBooks is not zero. The usual causes are transactions on the statement that were never recorded in QuickBooks, duplicate entries, a transaction with the wrong amount or date, or a beginning balance thrown off by an edited reconciled item. Fix the cause and the difference clears.
A reconciliation discrepancy is caused by a change to data after a reconciliation was finished, or by transactions that do not match the bank. Common triggers are a previously reconciled transaction that was edited, deleted, or unreconciled, a duplicate from the bank feed, or a missing month the feed never imported. QuickBooks flags the gap so you can trace it.
Your bank balance and QuickBooks balance differ when timing or missing data separates the two. Outstanding checks and deposits that have not cleared, transactions the bank feed never pulled, duplicates, and uncategorized entries all create a gap. Reconcile the account against the statement to find the exact transactions responsible, then add, remove, or correct them.
A wrong beginning balance has one root cause: a transaction that was reconciled in a past period was later changed, deleted, or unreconciled. Compare the statement to QuickBooks and note every line on the statement that is not in your register. Enter each as the matching expense, deposit, or transfer, or import them in one pass. For a whole missing month, converting the statement to a .qbo file and uploading it is faster and more accurate than typing every line by hand.
Download that month's statement from your bank, convert the PDF to a .qbo file with the converter above, then in QuickBooks Online go to Transactions, Bank transactions, Upload from file. Reconcile one statement period at a time, oldest first, never several months at once. Start with the earliest unreconciled statement, balance it to $0.00, then move to the next month. If older months are missing from QuickBooks, import each statement as a .qbo file before you reconcile it so every period has its transactions in place.
