To categorize transactions in QuickBooks Online, go to Transactions, then Bank transactions, and open the For review tab. Click a downloaded line, pick the Category (the account it belongs to) and Payee, then select Confirm to post it to your books. QuickBooks suggests a category based on past history and any bank rules you have set. In QuickBooks Desktop, downloads land in the Bank Feeds Center, where you Add new transactions or Match them to entries you already recorded.

Categorizing is how a raw bank line becomes real accounting: the Category you choose is the account the money flows into or out of, which drives your Profit and Loss and tax totals. Get it right once and bank rules will repeat it automatically for similar transactions. Last updated June 2026.

How do I categorize transactions in QuickBooks Online?
