To exclude bank transactions in QuickBooks Online, go to Transactions, then Bank transactions, open the For review tab, select the checkbox next to each transaction you want to remove, and choose Exclude. The transactions move to the Excluded tab, never post to your books, and the bank will not download them again. Use Exclude for duplicates, personal charges, and anything dated before your QuickBooks start date that does not belong in your accounting.

Excluding is one of the most useful and most misunderstood tools in the QuickBooks bank feed. Done right it keeps junk out of your books and your reconciliation clean. Done wrong, by deleting from the register instead, the same transactions download again and again. This guide explains exactly what Exclude does, when to use it, how it differs from deleting, and how to reverse it, with the converter at the top of this page for the times you would rather import a clean statement than wrestle the feed.

How do I exclude a bank transaction in QuickBooks Online?

Open Transactions, then Bank transactions, and select the For review tab. Check the box beside each transaction you want to remove, then choose Exclude from the action bar at the top. QuickBooks moves those transactions to the Excluded tab immediately. They will not be added to your books and the bank feed will not bring them back, so the For review list stays clean and focused on transactions that actually belong.

What does it mean to exclude a transaction in QuickBooks?

Excluding a transaction tells QuickBooks to ignore a line the bank downloaded so it never posts to your accounts. The transaction still happened at the bank, but you are saying it does not belong in your QuickBooks books, whether because it is a duplicate, a personal expense, or already recorded another way. Once excluded, the bank will not send it again, so it disappears from your review queue for good.

When should I exclude bank transactions?

Exclude a transaction when it should not become part of your accounting: a duplicate of something already in your books, a personal charge that ran through a business card by mistake, a transfer you already recorded on the other side, or activity dated before your QuickBooks start date that you do not want to backfill. If the transaction is real business activity that belongs in the books, categorize or match it instead of excluding it.

What is the difference between exclude and delete in QuickBooks?

Exclude applies to downloaded bank feed lines and stops the bank from sending them again, while deleting removes a transaction that is already posted in your register. The critical difference: if you delete a feed-sourced transaction out of the register, QuickBooks sees it as missing and downloads it again on the next update. To make a downloaded transaction stay gone, exclude it, do not delete it from the register.

Where do excluded transactions go in QuickBooks Online?

Excluded transactions move to the Excluded tab inside Bank transactions, next to the For review and Categorized tabs. They sit there as a record of what you chose not to post, so nothing vanishes without a trail. From the Excluded tab you can review the list, send a transaction back to For review if you excluded it by mistake, or delete it permanently once you are sure it does not belong.

How do I un-exclude a transaction in QuickBooks Online?

Open the Excluded tab, select the checkbox next to the transaction, and choose Undo. QuickBooks moves it back to the For review tab where you can categorize it or match it like any other downloaded line. Un-excluding is the safe way to recover a transaction you removed too quickly, with no need to re-download anything from the bank.

How do I permanently delete an excluded transaction?

Go to the Excluded tab, select the transactions you want gone, and choose Delete. Deleting from the Excluded tab is safe because QuickBooks already recorded that you reviewed and rejected those lines, so the feed will not bring them back. This keeps the Excluded tab tidy once you are certain the transactions have no place in your books.

Does excluding a transaction affect my bank balance?

Excluding a transaction does not change your real bank balance, only what QuickBooks records. Because an excluded line never posts, it is not part of the QuickBooks balance or your reconciliation. That is exactly why excluding duplicates and personal charges helps your books match the statement: you are removing entries that should never have counted, not the genuine activity the bank reports.

Can I exclude transactions in QuickBooks Desktop?

QuickBooks Desktop does not have the same Excluded tab. In the Bank Feeds Center you handle unwanted downloaded transactions in the review window before adding them, and you can delete a line there so it does not post. If a transaction already posted to the register, you remove it from the register directly. The Exclude feature with its dedicated Excluded tab is specific to QuickBooks Online.

What if I excluded transactions I actually needed?

If you excluded transactions you needed, open the Excluded tab, select them, and choose Undo to send them back to For review, then categorize them normally. If you already deleted them from the Excluded tab and the period is older than the roughly 90-day feed window, the bank may not re-download them. In that case, convert the statement PDF for those months to a .qbo file and import it so the transactions land cleanly without waiting on the feed.

How do I avoid excluding the wrong transactions?

Review each line before you exclude it and exclude in small batches rather than selecting everything at once. Match anything that already exists in your books instead of excluding it, and keep your QuickBooks start date in mind so you do not exclude legitimate opening activity. When you need a full, clean account from a specific date, importing a converted statement is more predictable than excluding feed lines one by one.

Once your review queue is clean, finish the period by working through how to reconcile bank statements in QuickBooks, and if a balance is off, see why your bank balance doesn't match QuickBooks. Excluding is closely tied to cleaning up duplicate bank transactions in QuickBooks, and to fill periods the feed never reached, read how far back QuickBooks can import bank transactions and how to import old bank statements into QuickBooks. If you keep a spreadsheet copy to audit which lines to exclude, a bank statement to Excel converter makes the review easier, an account that only exports CSV can run through a CSV to QBO converter, and you can clear outstanding vendor bills with accounts payable automation.
