To run the general ledger in QuickBooks Online, go to Reports in the left menu, type General Ledger in the search box, and open it (you will also find it under the For my accountant group). Set the Report period and accounting method, then click Run report to see every account with its opening balance, each transaction, and the running balance. Click Customize to add Debit and Credit columns or narrow to one account, and use Export to send the whole thing to Excel. In QuickBooks Desktop the same report lives under Reports, Accountant and Taxes, General Ledger.

The general ledger is the master record behind every other report: it lists each posted transaction grouped by account, so it is where you trace an odd balance, hand detail to an accountant, or prove what hit an account during a period. The trial balance summarizes those same accounts to one number each, and the GL is the detail underneath. If a month is missing because the bank feed only pulled the last 90 days, you can convert the PDF statement to a .qbo file and import it so the ledger is complete before you run the report.

How do I run a general ledger report in QuickBooks Online?

Click Reports in the left navigation, type General Ledger in the Find report by name box, and select it. Set the Report period to the dates you need and choose Cash or Accrual, then click Run report. The report opens with every account, its beginning balance, each transaction in date order, and the ending balance, so you see the full posting history in one place.

Where is the general ledger in QuickBooks Online?

It is in the Reports center, not on its own menu. Open Reports from the left panel and either scroll to the For my accountant section, where General Ledger is listed, or search for it by name. Save it to your favorites with the star icon so it stays at the top of the Reports list for next time.

How do I customize the general ledger report?

Open the report and click Customize. From there you set the date range and accounting method, then use Change columns (or the small gear above the table) to add Debit and Credit columns and remove any you do not need. How do I run the general ledger for one account?

With the report open, click the Export icon at the top right and choose Export to Excel. QuickBooks downloads an .xlsx workbook with the rows as shown on screen. If you need every field rather than the displayed columns, run Transaction Detail by Account instead, add the columns you want through the gear, set Group by to None, then export that, because it carries more line-level detail than the summary GL.

What is the difference between the general ledger and the trial balance?

The general ledger shows every individual transaction in each account, while the trial balance shows only the net debit or credit balance of each account on one line. How do I find the general ledger in QuickBooks Desktop?

In QuickBooks Desktop, go to Reports, then Accountant and Taxes, then General Ledger. The report defaults to all accounts for the current fiscal year. Click Customize Report to change the date range, add columns, or filter to specific accounts. To print or save it, use the Print and Excel buttons at the top of the report window.

How do I show debits and credits as separate columns?

By default the GL shows a single Amount column. Open Customize (Customize Report in Desktop), go to the columns list, and turn on Debit and Credit while turning off Amount. The report then splits each line into its debit or credit side, which is the layout most accountants and auditors expect when they review the ledger.

Why doesn't my general ledger match my bank balance?

The GL reflects what is recorded in QuickBooks, not what cleared the bank, so the two differ when transactions are missing, duplicated, or dated outside your report period. Common causes are a bank feed that only pulled recent months, manual entries that duplicated downloaded ones, or transfers miscoded. Reconcile the account to find the gap, then add or fix the offending entries.

Can I see the general ledger for a custom date range?

Yes. Set the Report period at the top of the report to any custom From and To dates, then run it. Use a tight range, such as a single month, when you are chasing one figure, since a narrower window makes a misposted entry far easier to spot than a full-year ledger with thousands of lines.

How do I print the general ledger in QuickBooks?

Run and customize the report the way you want it, then in QuickBooks Online use the Print icon at the top right, or in Desktop use the Print button in the report window. For a clean PDF, choose your PDF printer or Save as PDF in the print dialog. If the report is wide, set the orientation to Landscape so the debit, credit, and balance columns are not cut off.

Does QuickBooks Online have a general ledger?

Yes. QuickBooks Online is a full double-entry accounting system, so every transaction posts to the general ledger automatically, and the General Ledger report exposes it. Some lower plans surface fewer prebuilt reports, but the underlying ledger always exists; you can reach the same detail through Transaction Detail by Account if the named report is not in your plan's list.

How far back does the general ledger go?

The general ledger goes back as far as your recorded transactions, with no built-in cutoff: if a transaction is in the company file, it shows on the GL when your date range covers it. The limit is your data, not QuickBooks. If early months are missing because they predate your bank feed, import the older statements first so the ledger reflects the full history.

A general ledger is only as complete as the transactions behind it, so the fastest way to fill a gap is from the source statement rather than retyping entries. You can import old bank statements by converting each PDF to a .qbo file and uploading it, then match the downloaded transactions so nothing posts twice. When a ledger balance looks off, reconcile the account and fix any reconciliation discrepancy, and use the audit log to see who changed an entry.
