To run the trial balance in QuickBooks Online, go to Reports in the left menu, search for Trial Balance, set the Report period and accounting method, and click Run report. It lists every account with a single debit or credit balance as of your end date, and the two column totals at the bottom must match. In QuickBooks Desktop the same report is under Reports, Accountant and Taxes, Trial Balance. Click any figure to drill into the transactions behind it.
The trial balance is the one-line-per-account summary accountants use to check that the books balance before they prepare financial statements or a tax return. When total debits equal total credits, the file is internally consistent; when they do not, a transaction is posted wrong. The detail under each line comes from the general ledger, so the two reports are a matched pair: the trial balance for the summary, the ledger for the proof.
How do I run a trial balance in QuickBooks Online?
Click Reports in the left navigation, type Trial Balance in the Find report by name box, and select it. Set the Report period to your end date and choose Cash or Accrual, then click Run report. Each account appears on one line with its balance in the Debit or Credit column, and the totals at the bottom of those two columns should be equal.
Where is the trial balance report in QuickBooks?
It is in the Reports center, grouped under For my accountant, and you can also reach it by searching Trial Balance by name. In QuickBooks Desktop, open Reports, then Accountant and Taxes, then Trial Balance. Star it in QuickBooks Online to keep it pinned at the top of your Reports list for quick access each period.
How do I customize the trial balance report?
Open the report and click Customize. You can change the report period, switch between cash and accrual, and filter by account, class, or location. Use Change columns to add a prior-period column for comparison. Click Run report to apply, then Save customization with a name so the layout is ready in the My custom reports tab next time.
What is a trial balance in QuickBooks?
A trial balance is a report that lists every account in the chart of accounts with its ending balance shown as either a debit or a credit. Its purpose is to confirm that total debits equal total credits, which is the basic check of double-entry bookkeeping. It is the starting point for preparing the balance sheet, profit and loss, and a tax return.
Why is my trial balance out of balance in QuickBooks?
In QuickBooks Online a trial balance rarely goes out of balance on its own, because every transaction posts as a balanced entry. When the totals do not match, the usual causes are a damaged data file, a manual journal entry that was forced, or a report built outside QuickBooks. Narrow the date range to find the period where the totals diverge, then review the entries posted there.
How do I fix a trial balance that does not balance?
Customize the report and shrink the date range, by year, then month, then day, until the debit and credit totals stop matching, which pinpoints when the bad entry posted. Open the transactions in that window, looking for a journal entry posted to one side only, an amount keyed to the wrong account, or a debit that should be a credit. Correct that entry and the totals realign.
How do I see the transactions behind a trial balance figure?
Click directly on any amount in the trial balance. QuickBooks opens a Transaction Report (the general ledger detail) for that account and period, listing every transaction that built the balance. This drill-down is how you investigate a figure that looks too high or too low without leaving the report, and it links the summary straight to the underlying detail.
What is the difference between a trial balance and a balance sheet?
The trial balance lists every account, including income and expense accounts, on one line each to prove debits equal credits. The balance sheet shows only assets, liabilities, and equity at a point in time and presents them in financial-statement format. The trial balance is an internal check; the balance sheet is a finished statement you share with lenders or owners. If that statement's totals do not tie out, see how to fix a balance sheet out of balance in QuickBooks.
How do I run a trial balance for a specific date or period?
Set the Report period at the top of the report to the As of date or the From and To range you need, then run it. A trial balance is a point-in-time snapshot, so the end date is what matters most. Use a prior year-end date to see how the books looked when that period closed, which is useful for catch-up or review work.
How do I export the trial balance to Excel?
With the report open in QuickBooks Online, click the Export icon at the top right and choose Export to Excel; in Desktop use the Excel button in the report window. The download is a formatted .xlsx workbook you can hand to an accountant or use to build working papers. Export at each period close so you keep a dated record outside the live file.
Does QuickBooks Online have a trial balance report?
Yes. The Trial Balance report ships with QuickBooks Online and is listed under For my accountant in the Reports center. Lower-tier plans may surface fewer named reports, but the data always exists; if the report is not in your plan's list, your accountant can pull it through QuickBooks Online Accountant, which has the full report set.
How do I run a trial balance in QuickBooks Desktop?
Open Reports, then Accountant and Taxes, then Trial Balance. Set the date range at the top and click Refresh. Use Customize Report to add a comparison column or filter accounts, and use the Excel and Print buttons to export or print. Double-click any number to QuickZoom into the transactions that make up that balance.
A trial balance only balances when every transaction is recorded correctly, so a missing or duplicated bank entry is a common reason the numbers feel off. The fastest fix for a gap is to rebuild it from the statement: import old bank statements by converting each PDF to a .qbo file, then match the downloaded lines so nothing posts twice. When the cause is a balance that moved, reconcile the account, fix any reconciliation discrepancy, and check the detail in your general ledger report. If you also work figures outside QuickBooks, you can convert statements to Excel, turn a CSV bank file into a .qbo, or pull receipt data into a spreadsheet for expense backup.
