To run a bank reconciliation report in QuickBooks Online, go to Settings, then under Tools select Reconcile, then History by account, pick the account and period, and open the report. You can also find it under Reports by searching Reconciliation Reports. In QuickBooks Desktop, go to Reports, Banking, Previous Reconciliation, choose the account and statement date, and pick Summary, Detail, or Both. QuickBooks creates a reconciliation report automatically every time you finish reconciling.

The reconciliation report is your proof that an account balanced to the bank statement for a given month. It lists the statement ending balance, the beginning balance, every cleared payment and deposit, and any outstanding transactions that explain the gap between your books and the bank. Save or export one each month and you have a clean audit trail if a balance later drifts.

How do I run a bank reconciliation report in QuickBooks Online?

Go to Settings, then under Tools choose Reconcile, then History by account. Select the account and the reconciliation period, then open the report. Alternatively go to Reports, search for Reconciliation Reports in the find-by-name box, pick the account and period, and View Report. Only months you reconciled with the QuickBooks Reconcile tool appear in either place.

Where do I find previous reconciliation reports in QuickBooks Online?

Open Settings, then Reconcile, then History by account. This is where every prior and closed reconciliation lives in QuickBooks Online. Choose the account from the dropdown and pick the report period you want. There is no separate Previous Reconciliation menu like the Desktop version, so History by account is the single place to pull past reports.

How do I view past reconciliations in QBO using History by account?

From Settings, Reconcile, History by account, the screen lists each completed reconciliation with its statement date, ending balance, and any changes made since. Click the date or the View report link on the row you want. The report opens showing the cleared transactions and the difference, which should be zero for a properly finished reconciliation.

How do I print a prior month's bank reconciliation in QuickBooks?

Open the report you want from History by account in QuickBooks Online, or from Reports, Banking, Previous Reconciliation in Desktop. Once the report is on screen, click the Print icon in the upper right. In Desktop you can choose the Detail version first so the printout shows every cleared and outstanding transaction, not just the summary totals.

Can I export a reconciliation report to Excel in QuickBooks Online?

Not directly in most cases. QuickBooks Online does not offer a clean Excel export for the reconciliation report, so the workaround is to print or save it as a PDF, or highlight the report, copy it, and paste it into Excel. QuickBooks Desktop does let you export the Previous Reconciliation report to PDF or Excel from the report window.

How do I find the Previous Reconciliation report in QuickBooks Desktop?

Go to the Reports menu, then Banking, then Previous Reconciliation. Pick the account from the dropdown, choose the statement ending date, and select Summary, Detail, or Both. You can also choose between transactions cleared at the time of reconciliation, or those plus any later changes, which is the option you use to investigate a balance that has shifted.

How many previous reconciliations can I see in QuickBooks Desktop?

It depends on the edition. QuickBooks Desktop Pro shows only your most recent reconciliation in the Previous Reconciliation report. Premier, Accountant, and Enterprise can pull reports for the last 120 reconciliations. Because Pro keeps only the latest, save each month's report as a PDF or Excel file when you finish so you keep a permanent record.

What is the difference between the reconciliation report and the reconciliation discrepancy report?

The reconciliation report documents a completed, balanced reconciliation: beginning balance, statement ending balance, cleared items, and outstanding transactions ending in a zero difference. The reconciliation discrepancy report is a troubleshooting tool that lists transactions changed, deleted, or unreconciled since your last reconciliation. You use the first to prove a good month and the second to fix a broken one.

How do I run a Reconciliation Discrepancy report in QuickBooks?

In QuickBooks Desktop go to Reports, Banking, Reconciliation Discrepancy, then select the account. The report lists each cleared transaction that was later edited, voided, deleted, or unreconciled, with the type of change. QuickBooks keeps a record even of deleted entries, so this report usually finds the exact item that knocked your beginning balance out of line.

How do I read a bank reconciliation report?

Start at the beginning balance, which should equal the ending balance of the prior reconciliation. The statement ending balance is the closing figure from your bank. Cleared payments and deposits net against the beginning balance to reach the cleared balance, which should match the statement. Outstanding transactions are entered in QuickBooks but not yet on the statement, and they explain any remaining gap.

Why is my reconciliation report missing in QuickBooks Online?

Reconciliation reports only exist for months you reconciled using the Reconcile tool. If you marked transactions as cleared directly in the register or never finished the reconciliation, no report was generated for that period. For the underlying workflow, see how to reconcile bank statements in QuickBooks. Check History by account for the months that show a completed status, and reconcile any missing months to create the report going forward.

How do I export or save a reconciliation report as a PDF?

Open the report, then use the Print option and select Save as PDF or a PDF printer as the destination. In QuickBooks Desktop the Previous Reconciliation report window also has a direct option to save as PDF or export to Excel. Saving a PDF each month is the safest habit, especially on Desktop Pro where only the latest reconciliation stays available.

How do I fix a changed beginning balance shown on the report?

If the beginning balance no longer matches last month's ending balance, a previously reconciled transaction was changed, deleted, or unreconciled. Use the Reconciliation Discrepancy report to find it, then restore that transaction to its original amount and reconciled status. Once the discrepancy total returns to zero, the beginning balance lines up again and your next reconciliation can finish clean.

The reconciliation report is most useful when a month won't balance. If that happens, work through how to fix a reconciliation discrepancy, why your bank balance doesn't match QuickBooks, or how to undo a reconciliation and start the month over. The pillar on how to reconcile bank statements in QuickBooks ties it together, and when the feed is missing months you can import old statements by converting them first. If you also keep records outside QuickBooks, you can convert statements to Excel, turn a CSV file into a .qbo, or automate the bills behind those cleared payments.
