To find the check register in QuickBooks Online, select Settings, then Chart of accounts, locate your checking account, and click View register in the Action column. The register shows every transaction for that account in date order with a running balance, the check or reference number, the payee, and the reconcile status. In QuickBooks Desktop, open the Banking menu and choose Use Register, or double-click the bank account in the Chart of Accounts, to open the same checkbook-style view.
The check register is the running list of everything that has gone in and out of one bank account: checks, deposits, payments, and transfers, with the balance after each line. It is the single best place to audit a bank account, spot a missing or duplicate transaction, and see which items have cleared. Knowing how to filter it, read the cleared and reconciled status, and export it to Excel turns a long list into a fast way to find problems before they break your reconciliation.
How do I open the check register in QuickBooks Online?
Select the Settings gear, then Chart of accounts under Your Company. Find the bank or credit card account you want, then click View register in the Action column on the right. The register opens showing transactions newest first by default, each with its date, type, number, payee, payment or deposit amount, and the running balance. You can also reach it from Transactions, then Chart of accounts, on newer layouts.
How do I open the check register in QuickBooks Desktop?
Go to the Banking menu and select Use Register, then choose the account if prompted, or open Lists, then Chart of Accounts, and double-click the bank account. Desktop shows the register as a familiar paper-checkbook layout with a Number, Payee, Payment, Deposit, and Balance column. You can enter, edit, or void transactions directly in this view, which is handy for quick corrections.
How do I sort the check register?
In QuickBooks Online, click a column heading such as Date, Ref No. Type, or Payee to sort by that column, and click it again to flip the direction; a small arrow shows ascending or descending. Note that if you sort by anything other than Date or reconcile status, the running Balance column shows n/a, because a running balance only makes sense in date order. Switch back to sorting by Date to see the balance again.
How do I filter the check register?
Click the Filter button (the funnel icon) at the top of the register to open the filter panel. You can narrow the list by date range, by reconcile status (cleared, reconciled, or not), by transaction type, by payee, or by a specific dollar amount or memo text. Filtering is the fastest way to find one transaction in a busy account, or to pull up only the uncleared items you need to chase before reconciling.
What do the R, C, and blank reconcile codes mean?
In the reconcile-status column, R means the transaction has been reconciled and matched to a bank statement, C means it has cleared the bank (the bank feed downloaded it) but has not been reconciled yet, and a blank means neither: it is recorded in QuickBooks but has not cleared. Clicking the status box cycles it, but you should rarely change an R manually, because doing so can break a finished month's reconciliation.
How do I export the check register to Excel?
Open the register in QuickBooks Online, then select the Export to Excel button (a small spreadsheet icon, usually near the top right of the transaction list). QuickBooks downloads the currently filtered and sorted view as an .xlsx file. To export a longer date range cleanly, set the filter first, then export, so you get exactly the period you need rather than the whole history.
How do I print the check register?
In QuickBooks Online, open the register, apply any filter you want, then select the Print icon at the top of the list to print the on-screen view. In QuickBooks Desktop, open the register and choose the Print button or File, then Print Register, where you can set a date range before printing. For a formatted report instead of the raw register, run a Transaction Detail by Account report for the bank account.
How do I show or hide columns in the register?
In QuickBooks Online, select the small Settings gear at the top of the register list (not the main toolbar gear) to open column options. Check or uncheck columns to show or hide them, and turn on Paper Ledger Mode if you want the register to look like a traditional checkbook with lined rows. These choices are per-account, so you can keep a memo column on a busy account without cluttering the others.
Why is my register balance different from my bank statement?
The register shows every transaction you have recorded, including checks and payments that have not cleared the bank yet, so it is normally higher or lower than the bank's balance by the total of those outstanding items. That gap is expected and is exactly what reconciliation resolves. A difference that will not close after accounting for outstanding items usually means a duplicate, a transaction posted to the wrong account, or an edited reconciled entry.
How do I find a missing or duplicate transaction in the register?
Sort by date and scan the running balance for a jump that does not match, or filter by amount to pull up every transaction of a given value and spot a double entry; the guide to finding a transaction in QuickBooks covers the faster search routes. Duplicates often happen when a check or deposit is entered manually and then added again from the bank feed instead of matched, and clearing them out follows the steps for duplicate bank transactions in QuickBooks. Deleting the duplicate (not the original) brings the register back in line with the bank.
Can I edit a transaction directly in the register?
Yes. Click any line in the register to expand it, change the date, payee, amount, or account, then Save. Edit with care on lines marked R, because changing a reconciled transaction will alter that month's beginning balance and can leave a discrepancy. If you must fix a reconciled item, note the change so you can correct the affected reconciliation afterward.
What if the register is missing months of older transactions?
Bank feeds typically reach back only about 90 days, and some banks less, so transactions before that window may never have entered QuickBooks and so are absent from the register. To fill the gap, convert your PDF bank statements to a .qbo file and import the full period; every check, deposit, and payment lands in the register at once so you can reconcile the older months instead of typing them in by hand.
A clean register is the foundation of a clean reconciliation. When the balance will not match, reconcile bank statements in QuickBooks against the real statement and use the reconciliation discrepancy report to find a changed entry. To stop double entries from cluttering the register, match transactions in QuickBooks when they download instead of re-adding them, and to backfill months the feed never pulled, import old bank statements into QuickBooks by converting them to .qbo. The register fills up from entries like when you write a check or void a check, so keep those recorded cleanly.
