To find a transaction in QuickBooks Online, click the magnifying-glass Search icon at the top right and type any combination of amount, payee, date, reference number, or type, such as "check 1042" or "expense over $500 this month." For a precise lookup, open the same search and click Advanced Search, then filter by Transaction Type plus a second field like Amount, Date, or Account. In QuickBooks Desktop, press Ctrl+F to open the Find window and search by amount, name, date, or number.
Most missing transactions are not actually gone, they are just filtered out of the view you are looking at, sitting in the wrong account, or hiding under a different payee name. Searching the whole company file, rather than scrolling one register, is the fast way to confirm whether an entry exists and where it landed.
How do I find a transaction in QuickBooks Online?
Click the magnifying-glass Search icon in the top-right toolbar and type what you know: an amount, a payee, a check or reference number, a date, or a transaction type. QuickBooks matches across the whole company file and lists the hits. Click any result to open the transaction. Recent transactions also appear instantly when you click the search box before typing anything.
How do I search for a transaction by amount in QuickBooks?
Type the dollar amount straight into the global Search box, for example 1,250.00, and QuickBooks returns every transaction matching that figure. For tighter control, open Advanced Search, set a Transaction Type, then add an Amount filter set to Equals, Greater than, or Less than. That narrows a common round number down to the one entry you actually need.
What is Advanced Search in QuickBooks Online?
Advanced Search is the detailed filter behind the global search box. Click the magnifying-glass icon, then the Advanced Search link in the lower-right of the popup. You choose a Transaction Type first, then add filters such as Amount, Date, Account, Customer, or Reference number. The Transaction Type and at least one more filter must both be set to return accurate results.
How do I find a transaction by date in QuickBooks?
Open Advanced Search, pick the Transaction Type, then add a Date filter and set the range you want. If you are not sure of the type, go to the account register instead: open Settings, Chart of accounts, View register, and use the date column or the filter funnel to jump to a specific day. Both methods isolate a date range fast.
How do I search transactions by category in QuickBooks?
The global search does not filter by category directly, so run a report instead. Go to Reports and open Transaction Detail by Account, or run a Profit and Loss and click into the category total to see every transaction posted there. You can also filter a register or the bank-feed Categorized tab by the category column to list everything coded to one account.
How do I find a transaction in QuickBooks Desktop?
Press Ctrl+F to open the Find window, then use the Simple tab to search by name, amount, date, or number, or the Advanced tab to stack filters like Account, Transaction Type, and Amount. You can also open the relevant register from Lists, Chart of Accounts and use Edit, Find, or sort the register by a column to locate the entry.
How do I find a missing transaction in QuickBooks?
First search the global box by amount, since a misfiled entry still matches its figure. If nothing comes up, check the account register with all filters cleared, then the bank-feed For review tab in case it was downloaded but never added. Finally open the Audit log to confirm whether it was deleted rather than misplaced, because a deleted entry will not appear in any search.
How do I see all transactions for a customer or vendor?
Open Sales, Customers (or Expenses, Vendors), then click the name to open their profile. The Transaction List tab shows every invoice, payment, bill, and expense tied to that contact, with filters for type and date. This is faster than the global search when you want a full history for one customer or vendor rather than a single entry.
How do I find past or older transactions in QuickBooks?
Use a report rather than the register for old entries. Run Reports, Transaction List by Date (or Transaction Detail by Account), set the date range back as far as you need, and the report lists everything in that window with amounts and accounts. The global search also reaches old transactions as long as they are still in the company file.
Why can't I find a transaction I know I entered?
Usually it is filtered out, posted to a different account, or recorded under a slightly different name or amount. Clear every filter in the register, search by the exact dollar amount rather than the payee, and check the account you expected it in versus a similarly named one. If it is truly absent, the Audit log will show whether it was deleted.
How do I find duplicate transactions in QuickBooks?
Run Reports, Transaction List by Date and sort by amount, or open the account register and scan for two identical entries on or near the same date. Duplicates most often come from a transaction that was both manually entered and imported from the bank feed. Match or exclude the downloaded copy instead of deleting either at random.
How do I search bank feed transactions before adding them?
Go to Transactions, Bank transactions, and use the search box and Filter on the For review tab to find a downloaded line by amount, date, or description. Once a transaction is added, it moves to the Categorized tab, which has its own search. Knowing which tab a transaction is on tells you whether it has hit your register yet.
If a search turns up nothing because a whole month never made it into QuickBooks, the fix is to bring the source data in rather than retype it. You can import old bank statements by converting the PDF to a .qbo file and uploading it, then match the transactions so they reconcile cleanly. When a search reveals a deleted entry, see finding deleted transactions and the QuickBooks audit log, then reconcile the affected month. If you also work outside QuickBooks, you can convert statements to Excel, turn a CSV file into a .qbo, or digitize receipts with receipt OCR so every entry has a source you can search back to.
