Bank transactions are usually missing in QuickBooks for one of three reasons: the bank feed only downloads the last 90 days, so older activity never came in; the connection expired or disconnected and skipped a stretch of days; or the transactions did download but were excluded, added to the wrong account, or filtered out of view. Start in Transactions, then Bank transactions, run a manual Update, and check both the For review and Categorized tabs before assuming anything is gone.

The fix depends on which case you have. New gaps are usually a feed hiccup you clear with an update or reconnect. Months that predate the 90-day window will never arrive through the feed, so you bring them in from the statement instead. Last updated June 2026.

Why are my bank transactions missing in QuickBooks Online?

The most common cause is the 90-day download limit: when you connect an account, QuickBooks pulls only the last 90 days, and anything older has to be added another way. New transactions can also be delayed because most banks sync about every 24 hours, or the connection may have expired and stopped importing. Run a manual Update first, then check whether the gap is recent or older than 90 days.

How do I update the bank feed to pull missing transactions?

Go to Transactions, then Bank transactions, and select Update in the upper right to force QuickBooks to contact your bank now instead of waiting for the next automatic sync. If new transactions appear, the feed was simply behind. If nothing changes after a few minutes, the issue is on the bank's side or the connection needs attention, so sign in to your bank's website to confirm the activity is actually posted there.

Why won't transactions older than 90 days download?

QuickBooks Online deliberately limits a new bank connection to the most recent 90 days of history, and many banks cap the feed even shorter. There is no setting to extend it, so transactions before that window will never come through the feed. To get those older months into QuickBooks, you upload them from the bank statement as a file rather than waiting on the connection.

How do I find missing bank transactions in QuickBooks?

First check the For review tab in case the transactions downloaded but were never categorized. Then open the account register from the Chart of accounts and clear any date or status filters that might be hiding rows. Search by amount or payee using the global search. If they truly are not in QuickBooks at all, the feed never delivered them and you will need to add or import them.

Why are transactions in my bank feed but missing from the register?

If a transaction shows in the bank feed but not in your account register, it is sitting in the For review tab unaccepted, or it was Excluded. Open For review and confirm the line to post it, or check the Excluded tab and undo the exclusion if it was set by mistake. Only transactions you have added or matched actually land in the register and affect your balance.

Why are bank transactions missing in QuickBooks Desktop?

In QuickBooks Desktop, downloaded activity sits in the Bank Feeds Center until you add or match it, so transactions can look missing simply because they are still waiting there unreviewed. Open Banking, then Bank Feeds, then Bank Feeds Center to process them. Desktop also follows download limits, so older history that the feed will not provide has to be imported from a Web Connect file instead.

Why didn't all my transactions download from the bank?

Partial downloads usually mean the connection dropped partway, your bank changed your login or account number, or the bank's server returned only some records. Update your sign-in details in QuickBooks if anything changed at the bank, run a manual Update, and compare the feed against your statement to see exactly which dates are missing so you know how far back to backfill.

How do I restore missing months of bank transactions?

For missing months the feed cannot reach, download the PDF statement for each period from your bank, convert it to a .qbo file, and upload it in Transactions, then Bank transactions, then Upload from file. The transactions appear in For review just like feed data, ready to categorize and reconcile. This is the reliable way to fill gaps older than 90 days without typing each line.

Will adding missing transactions create duplicates?

It can, if some of the same transactions are already in your books from the feed or from manual entries. Before importing a backfill file, note the overlap dates, and after importing use Match rather than Add for any line that ties to an existing entry. If duplicates do slip in, you can find and remove them so each transaction counts once on your reports and reconciliation.

How do I prevent transactions from going missing again?

Reconnect or refresh the bank connection promptly whenever QuickBooks flags an error, since a lapsed connection skips the days it was down. Reconcile every month so a missing transaction shows up immediately as a difference rather than months later. Keeping the feed healthy and reconciling on schedule turns missing transactions into a quick catch instead of a year-end cleanup.

Can I get missing transactions without using the bank feed at all?

Yes. You do not need a live connection to bring transactions into QuickBooks. Convert each bank statement PDF to a .qbo file and upload it directly, which works for any period your bank can produce a statement for, including years of back history. Many bookkeepers skip the feed entirely for catch-up work and import statements month by month instead.

When the bank feed will not deliver the months you need, importing from the statement is the dependable fix. You can import old bank statements by converting the PDF to a .qbo file and uploading it, then match the transactions so nothing doubles up. If the feed itself is broken, see why the bank feed is not working, clear out any duplicate bank transactions, and reconcile each restored month. If you keep parallel records too, you can convert statements to Excel, turn a CSV file into a .qbo, or digitize paper receipts with receipt OCR so your books stay complete.
