To import a CSV file into QuickBooks Online, go to Transactions, then Bank transactions, select the account, choose Upload from file (or Link account, then Upload), pick your CSV, and map your columns to QuickBooks fields before you import. The file has to be in one of two layouts: a 3-column format with Date, Description, and Amount, or a 4-column format with Date, Description, Credit, and Debit. CSV is the format QuickBooks Online falls back on when a bank is not connected by feed or when you need older activity the feed will not pull. The catch is that QuickBooks is strict about the layout, and a single bad row or an oversized file stops the whole import. How do I import a CSV file into QuickBooks Online?

Go to Transactions, then Bank transactions. Select the account you want the data in, then choose the drop-down by Link account and select Upload from file. Browse to your CSV, select Continue, pick the QuickBooks account, then map your file's columns to the Date, Description, and Amount fields. Confirm the rows look right and select Import. QuickBooks drops them into the For review tab so you can categorize and add them.

What format does QuickBooks need for a CSV import?

Select the whole date column in Excel, format it as a single date style, and make sure no stray text like the day of the week is mixed in.

How should the amount column look?

Strip each amount down to a plain number with an optional minus sign and a period for the decimal. Remove dollar signs, commas used as thousands separators, parentheses for negatives, and any currency text. So 1,250.00 becomes 1250.00 and a withdrawal shown as ($45.00) becomes -45.00. Clean amounts are the difference between a clean import and a row-by-row error hunt.

Why won't my CSV file import into QuickBooks?

The usual causes are a header row that does not match QuickBooks fields, mixed or unparseable dates, amounts with dollar signs or commas, a file over the 350 KB size limit, and descriptions that are entirely numeric. QuickBooks rejects rows where the description is only digits, which happens when a bank puts a transaction ID in that column. Fix those, and the same file usually imports on the next try.

What is the file size limit for a CSV import?

The CSV upload limit in QuickBooks Online is 350 KB. A full year of bank activity almost always crosses that line. Split the export into smaller date ranges, monthly or quarterly, and upload each batch as its own file. A .qbo file carries no such limit, which is why a full year is easier to bring in with the bank statement to QBO converter than as split spreadsheets. Smaller files also make it far easier to spot the one bad row when an import does fail.

Why does QuickBooks say info may be missing from my file?

The "some info may be missing from your file" error usually means a required column is empty on at least one row, the headers are not mapped to Date, Description, and Amount, or there are blank rows inside the data. Open the file, delete empty rows, confirm every transaction has a date and an amount, and re-map the columns during the upload step.

Can I import a CSV into QuickBooks Desktop?

QuickBooks Desktop does not import a plain CSV of bank transactions directly. Desktop's Bank Feeds accept Web Connect files in .qbo format, plus QFX, QBO, and OFX, not raw CSV. To get spreadsheet data into Desktop you either use a third-party import tool or convert the CSV into a .qbo Web Connect file and import that through Banking, then Bank Feeds, then Import Web Connect File.

How do I fix a numeric-only description?

Add at least one letter or word to any description that is only digits. If your bank fills the description with a transaction ID like 449801, QuickBooks will reject that row. The quickest fix is to put real payee text in the description column, or prefix the ID with a short label so the field is not purely numeric.

Can QuickBooks import a CSV from a PDF bank statement?

Not directly. A PDF statement is not a CSV, so QuickBooks cannot read it. You first turn the PDF into structured data. The fastest route is to convert the PDF bank statement into a .qbo file and import it straight through the bank feed, which skips the column-mapping and formatting cleanup that a hand-built CSV needs.

Where do imported transactions go after the upload?

Imported rows land in the For review tab under Bank transactions, not directly into your books. You still review each one, assign a category or match it to an existing entry, and select Add. Nothing affects your reports until you accept it from For review, so an import is safe to undo if the file was wrong: exclude the batch and start over.

A clean import comes down to a clean file. When your bank only offers PDFs or stops at 90 days, the simplest path is to skip the spreadsheet cleanup entirely: import old bank statements into QuickBooks by converting them to .qbo, then reconcile bank statements in QuickBooks so the totals tie out.
