To undo a reconciliation in QuickBooks Online, an accountant opens the client's books, goes to the Reconcile screen, selects History by account, finds the period, and chooses Undo in the Action column. Business-view users without accountant access undo it one transaction at a time in the account register. In QuickBooks Desktop, open the Banking menu, select Reconcile, and click Undo Last Reconciliation.
Most people undo a reconciliation because the difference would not settle at zero, usually from a transaction that is missing, duplicated, or was edited after it cleared. If a whole period is missing because the live bank feed only reaches back about 90 days, the cleanest fix is to convert that statement PDF to a .qbo file with the tool above, import the real transactions, then reconcile the period again. How do I undo a reconciliation in QuickBooks Online?
In QuickBooks Online, a full undo needs accountant access. If you have QuickBooks Online Accountant, open the client's books, go to Transactions then Reconcile, select History by account, pick the account and period, and choose Undo in the Action column. Without accountant access, you unreconcile the transactions individually in the account register instead.
How do I undo a reconciliation in QuickBooks Desktop?
QuickBooks Desktop has a one-click option. Go to the Banking menu, select Reconcile, and in the Begin Reconciliation window click Undo Last Reconciliation. Confirm the warning. Desktop reverses only the most recent reconciliation at a time and keeps every transaction, simply clearing its reconciled status so you can reconcile the period again from the statement.
Can I undo a reconciliation without an accountant?
Yes, but not in one click. Regular QuickBooks Online users cannot bulk-undo a whole period, so you unreconcile transactions one at a time. Open Settings, Chart of accounts, find the account, and select View register. Click each transaction and toggle the checkmark from R back to blank, then Save. For an entire period, ask your accountant to undo it.
How do I undo a single transaction from a reconciliation?
Open the account register from Chart of accounts, then View register. Find the transaction and click it to expand the row. In the checkmark column, click the box repeatedly to cycle the status from R (reconciled) to C (cleared) to blank (uncleared), then select Save. The transaction stays in your books but no longer counts as reconciled.
How do I undo the last reconciliation in QuickBooks?
In QuickBooks Desktop, Banking then Reconcile then Undo Last Reconciliation removes the most recent one. In QuickBooks Online, an accountant uses History by account and selects Undo on the latest reconciliation. Always start with the most recent period, because undoing an earlier month forces you to redo every month after it.
How do I undo a prior or past reconciliation?
Work backward. QuickBooks undoes reconciliations in reverse order, so to reach an older period you undo each later period first. In Desktop, repeat Undo Last Reconciliation until you reach the month you want. In QuickBooks Online Accountant, History by account lists every period, and undoing one also undoes all reconciliations after it.
Does undoing a reconciliation delete my transactions?
No. Undoing a reconciliation never deletes transactions. It only removes their reconciled (R) status and resets the reconciliation's beginning balance, leaving every entry in the register exactly as it was. You can correct whatever was wrong, then reconcile the period again from the same bank statement without re-entering anything.
Why would I need to undo a reconciliation?
The usual reason is that a past reconciliation was forced to balance with an adjustment that hid a real error, or a reconciled transaction was later edited, deleted, or duplicated and threw off the beginning balance. Undoing the period lets you fix the actual problem and reconcile cleanly instead of stacking another adjustment on top of the last one.
Will undoing a reconciliation affect other months?
Yes. Each period's ending balance becomes the next period's beginning balance, so undoing one month resets the months after it. That is why you undo from the most recent period backward. Plan to re-reconcile every period you touch, working forward again from the oldest undone month through to the present. How do I re-reconcile after undoing?
Open Reconcile, choose the account, and enter the ending balance and date from that period's bank statement. Check off each transaction that appears on the statement until the Difference reads $0.00, then select Finish now. If a transaction is missing, add or import it first so the period reconciles without forcing an adjustment.
How do I find what threw off my reconciliation?
Run the reconciliation discrepancy report. In QuickBooks Desktop, go to Reports, Banking, Reconciliation Discrepancy. In QuickBooks Online, the reconcile screen flags changed transactions. The report lists any reconciled item that was later edited, deleted, or unmarked, which is the single most common reason a beginning balance stops matching.
Is it better to undo a reconciliation or make an adjustment?
Undo it when you can find the real cause. A reconciliation adjustment posts a plug entry to force the balance, which buries the error and distorts your expense or income accounts. Undoing the period and correcting the actual missing, duplicate, or edited transaction keeps the books accurate and avoids a growing pile of adjustments.
Can I undo a reconciliation in QuickBooks Self-Employed?
No. QuickBooks Self-Employed and QuickBooks Solopreneur do not include a reconciliation feature, so there is nothing to undo. You categorize transactions instead of reconciling.
