To reconcile a previous month in QuickBooks Online, go to Settings, then Reconcile, pick the bank account, and enter the ending balance and ending date from that month's statement. QuickBooks fills in the beginning balance from the last reconciled month, so reconcile your oldest unreconciled month first and work forward one statement at a time until each month's difference reads $0.00.
Catching up on reconciliations you skipped is common when a business falls behind on its books, switches bookkeepers, or imports a backlog of transactions at tax time. The work is straightforward once every transaction for the period is actually in QuickBooks. How do I reconcile a previous month in QuickBooks Online?
Go to Settings, then Reconcile, and choose the account. Enter the statement's ending balance and ending date for the month you are reconciling, then select Start reconciling. Check off each transaction that appears on that month's statement until the Difference field shows $0.00, then select Finish now. Always reconcile your earliest open month before moving to later ones.
Can you reconcile multiple months at once in QuickBooks?
You can, but reconcile one statement at a time rather than lumping months together. Enter the ending balance and date for the oldest statement, finish it, then start the next month. Each finished reconciliation sets the beginning balance for the following one, so doing them in order keeps the running balance correct and makes mistakes easy to trace.
How do I catch up on bank reconciliation in QuickBooks?
Gather every monthly statement for the gap, make sure all transactions for those dates are entered, matched, or excluded, then reconcile from the oldest month forward. Catching up is mostly about completeness: if even one deposit or check is missing for a month, that month's difference will not reach zero until you add it.
How do I reconcile several months or years of transactions?
Reconcile chronologically, one statement per month, and if the backlog spans multiple fiscal years, work one year at a time. Any service charges, interest, or adjustments you enter during reconciliation post to the date of that period, so keeping years separate prevents adjustments from landing in the wrong tax year and throwing off prior financial statements.
Why is my beginning balance wrong when I reconcile an old month?
The beginning balance comes from the ending balance of the last reconciled month. It reads wrong when a previously reconciled transaction was later edited, deleted, or unmatched. Run the Reconciliation Discrepancy report to find the changed entry, restore it to its reconciled state, and the beginning balance for the next month will line back up.
How do I reconcile transactions older than my opening balance?
If you have transactions dated before your account's opening balance, you cannot reconcile them through the normal screen because the opening balance already accounts for that period. Either adjust the opening balance date back, or reconcile those older transactions manually by checking them off in the bank register so they are marked cleared without a formal statement.
Should I reconcile one month at a time or all at once?
Reconcile one month at a time. Even when you are months behind, finishing each statement individually keeps the beginning balance accurate, isolates any month where the difference will not zero out, and gives you a clean bank reconciliation report per period. Trying to clear several months in a single pass makes errors far harder to find.
What if I'm missing bank statements for the months I need to reconcile?
Download the missing statements from your bank's website, where most banks keep 12 to 24 months of PDF statements. If the period you need is older than the feed will pull, convert those PDF statements to a QuickBooks file and import the transactions, then you will have both the statement totals and the line items needed to reconcile.
How do I reconcile a previous month in QuickBooks Desktop?
In QuickBooks Desktop, go to Banking, then Reconcile, and select the account. Enter the statement date and ending balance for the month you are catching up, then select Continue. Check off each cleared transaction until the difference is zero and select Reconcile Now. Desktop also lets you reprint prior reconciliation reports under Reports, then Banking, then Previous Reconciliation.
Can I edit a reconciliation from a previous month?
You should not edit a reconciled transaction directly, because changing the amount or date of a cleared entry breaks the beginning balance of every month after it. If a prior reconciliation was wrong, undo it for that account and period, fix the underlying transactions, then reconcile the month again against the same statement.
How do I find missing transactions before reconciling an old month?
Compare the statement line by line against the bank register for that month, or run a transaction report filtered to the account and date range. Anything on the statement that is not in QuickBooks needs to be added or imported first. Missing transactions are the most common reason a catch-up month's difference will not reach $0.00.
Why won't my reconciliation difference go to zero?
A nonzero difference means the cleared transactions in QuickBooks do not match the statement total. Usual causes are a missing or duplicated transaction, a wrong amount, a transaction dated in the wrong month, or an incorrect statement ending balance. Recheck the ending balance you entered first, then look for the single transaction that equals the difference.
Do I need to reconcile every month or can I skip some?
Reconcile every month. Skipping months leaves errors undetected and forces a painful catch-up later, because each statement's beginning balance depends on the one before it. Monthly reconciliation is the only reliable way to confirm your books match the bank and to catch missing, duplicate, or fraudulent transactions early.
The hardest part of any catch-up is simply having every transaction in QuickBooks for the months you are reconciling.
