To set up recurring transactions in QuickBooks Online, go to Settings (the gear icon), select Recurring transactions, then New, pick the transaction type, and choose a Type of Scheduled, Reminder, or Unscheduled. Recurring transactions are available in Essentials, Plus, and Advanced, but not in Simple Start. In QuickBooks Desktop the same idea is called a memorized transaction: open any transaction, press Ctrl+M to memorize it, and manage them all from the Memorized Transaction List under the Lists menu.

Recurring and memorized transactions save you from re-keying the same rent, loan, subscription, or invoice every month. Set the template once and QuickBooks either posts it automatically or reminds you to. How do I set up a recurring transaction in QuickBooks Online?

Select Settings, then Recurring transactions, then New. Choose the transaction type, such as Invoice, Bill, or Expense, and select OK. Give the template a name, set the Type to Scheduled, Reminder, or Unscheduled, set the interval and start date, fill in the transaction details, and select Save template. QuickBooks then creates the transaction on the schedule you set.

What are the three types of recurring transactions in QuickBooks Online?

The three types are Scheduled, Reminder, and Unscheduled. Scheduled posts automatically on the dates you set, which suits fixed amounts like rent or loan payments. Reminder creates the transaction on schedule but waits for you to review and send it, which suits a bill that changes each month. Unscheduled saves the template with no date so you can use it as a copy whenever you need it.

Which QuickBooks Online plans include recurring transactions?

Recurring transactions are included in QuickBooks Online Essentials, Plus, and Advanced. They are not available in Simple Start. From here you can enter a transaction now, edit the schedule, group templates, or delete ones you no longer use. It is the Desktop control center for all your recurring entries.

What is the keyboard shortcut to memorize a transaction in QuickBooks Desktop?

Press Ctrl+M while a transaction is open to bring up the Memorize Transaction window. From there you name the template and choose how QuickBooks should handle it going forward. Why are my recurring transactions not posting in QuickBooks?

Open the template, confirm the Type, interval, and start and end dates, and switch it to Scheduled or Automate to post automatically.

Can I set up recurring bills and expenses in QuickBooks Online?

Recurring bills are handy for rent, insurance, and subscriptions, and the Reminder type lets you review variable bills, like utilities, before they post to your books.

How do I edit or delete a recurring transaction in QuickBooks Online?

Go to Settings, Recurring transactions, find the template in the list, and use the Action column. Select Edit to change the schedule, amount, or details, or select the dropdown and choose Delete to remove it. Editing the template only affects future transactions, so any entries it already created stay in your books unchanged.

What is the difference between recurring transactions and memorized transactions?

Can I automate a recurring journal entry in QuickBooks?

Yes. In QuickBooks Online, choose Journal Entry as the transaction type when creating a recurring template, set it to Scheduled, and QuickBooks posts it automatically, which is common for monthly depreciation or amortization. In QuickBooks Desktop, open the journal entry, press Ctrl+M, and set it to Automate Transaction Entry with the frequency you want.

Why does a recurring transaction not match my imported statement?

A recurring entry can post on a slightly different date or amount than the real transaction, so QuickBooks may not auto-match it. Open the For review tab, find the downloaded line, and match it to the recurring entry manually. If the actual charge never downloaded because it predates your bank feed, import the missing transactions first, then match, so your recurring entries and the bank both reconcile.

Recurring templates keep your books current, but they only help going forward.
