The beginning balance on the QuickBooks reconciliation screen is the ending balance from the last time you reconciled that account, carried forward automatically. When it does not match the beginning balance on your bank statement, it almost always means a transaction that was already reconciled got edited, deleted, or unreconciled after the fact, which changed the ending balance of that prior month. QuickBooks does not let you type over the beginning balance to force a match; you fix it by finding and correcting the transaction that moved it, until the difference is zero. If what you need is the step by step repair rather than the diagnosis, see how to change the beginning balance in QuickBooks Online.
On a brand-new account the cause is different: the beginning balance comes from the opening balance you entered when you set the account up, so a wrong opening balance is usually the culprit the first time you reconcile. Either way, the gap traces back to specific transactions. When the real problem is that a whole period is missing from QuickBooks, so its transactions never reconciled at all, convert the statement PDF to a .qbo file with the tool above and import the missing lines, then reconcile that period to set a correct beginning balance for the next one. Here is how to work through it.
What is the beginning balance in QuickBooks reconciliation?
The beginning balance is the starting point QuickBooks shows when you open the Reconcile screen for an account. It equals the ending balance from your previous completed reconciliation of that account. You do not enter it; QuickBooks calculates it from everything you marked as reconciled before. On your very first reconciliation, it instead comes from the account's opening balance, which is why a wrong opening balance shows up immediately as a mismatch.
Why doesn't my beginning balance match my bank statement?
Your beginning balance differs from the statement because a transaction that was reconciled in a prior period was later changed. Editing the amount or date of a reconciled transaction, deleting one, or removing its reconciled status all alter the ending balance of that earlier month, and that flows straight into the beginning balance of the next reconciliation. Less often, a transaction reconciled by hand in one month failed to carry into the following one.
How do I fix a beginning balance that's off in QuickBooks Online?
When QuickBooks flags the mismatch, select the link that says it can help you fix it, which opens the Reconciliation Discrepancy report. Review each listed transaction one at a time, use View to see its change history, and undo or correct whatever altered a previously reconciled entry. When the Total Discrepancy Difference reaches $0.00, the beginning balance lines back up with your statement and you can resume reconciling.
How do I fix the beginning balance in QuickBooks Desktop?
In QuickBooks Desktop, open the Reconciliation Discrepancy report from Reports, then Banking, then Reconciliation Discrepancy, and pick the account. It lists transactions that were changed since the last reconciliation, with the dollar effect of each. Correct or re-reconcile those entries to bring the difference to zero. Desktop also offers a mini reconciliation: a small journal-entry-style fix that lets you re-mark transactions as cleared to repair a broken beginning balance.
Can I change the beginning balance directly?
No, not by typing a new number into the Reconcile screen. The beginning balance is calculated from your reconciliation history, so QuickBooks does not give you an editable field for it. The only way to move it is to find and fix the transaction that changed, or, on a first reconciliation, to correct the account's opening balance entry. Forcing a balance with a fake adjustment hides the real error and breaks the next month again.
Why is my beginning balance wrong on the first reconciliation?
On a first reconciliation the beginning balance comes from the opening balance you set when creating the account, so an incorrect opening balance is the usual cause. Compare it to the closing balance on the bank statement from the period right before the one you are reconciling. If it is wrong, edit the opening balance transaction in the account register to the correct amount and date, then start the reconciliation again.
What is the Reconciliation Discrepancy report?
The Reconciliation Discrepancy report lists every transaction that was edited, deleted, or unreconciled since your last completed reconciliation of an account, along with how much each one changed the balance. It is the single fastest way to find what threw off your beginning balance, because it points at the exact entries instead of leaving you to scan the whole register. Open it from the discrepancy alert in QuickBooks Online or from Reports, Banking in Desktop.
Does deleting a reconciled transaction change the beginning balance?
Yes. Deleting a transaction that was already reconciled lowers or raises the ending balance of the month it belonged to, and that month's ending balance is the next month's beginning balance, so the next reconciliation no longer matches. The same happens if you edit a reconciled transaction's amount or date, or clear its reconciled checkmark. Set a closing date with a password to stop reconciled periods from being changed by accident.
How do I add transactions older than the opening balance?
When you enter a transaction dated before the account's opening balance, QuickBooks warns you because the opening balance already assumed those early items were settled. To include them properly, either move the opening balance date earlier and reduce its amount to make room, or, if the opening balance double-counts them, reconcile them against the opening balance entry so they cancel out rather than inflate the account.
What if a whole month is missing from QuickBooks?
If an entire period never made it into QuickBooks, none of its transactions reconciled, so the beginning balance for the following month starts from the wrong point. The bank feed only reaches back about 90 days, so older gaps cannot simply be re-downloaded, which is the usual story behind bank transactions missing in QuickBooks. Convert each missing statement PDF to a .qbo file, import it, then reconcile that previous month against the statement, and the corrected ending balance becomes a correct beginning balance going forward.
How do I prevent beginning balance problems?
Reconcile every account every month so each reconciliation sets a clean starting point for the next. Set a closing date with a password so reconciled transactions cannot be edited or deleted without a deliberate override. Avoid changing the date or amount of any transaction once it has been reconciled, and when you must correct one, re-reconcile the affected period rather than leaving the difference for the next month to inherit.
Fixing a beginning balance is really about protecting your reconciliation chain. For the tool that finds the offending entries, see how to fix a reconciliation discrepancy in QuickBooks, and when the live register simply does not agree with the bank, read why your bank balance doesn't match QuickBooks. If you set the wrong starting figure, learn how to enter an opening balance correctly, and when months are missing, import old bank statements into QuickBooks and reconcile each statement to rebuild a clean balance. To cross-check the bank against your books, a bank statement to Excel converter puts every line in a spreadsheet, a CSV to QBO converter covers accounts that only export CSV, and outstanding vendor bills behind an off balance are easier to track with accounts payable automation.
