To enter an outstanding check in QuickBooks, record the check the normal way. In QuickBooks Online select + New, then Check, and choose the bank account, payee, check number, date, and amount. In QuickBooks Desktop use Banking, then Write Checks. The check stays uncleared in your register until the payee cashes it and it clears the bank.
Outstanding checks are the most common reason your QuickBooks balance sits lower than your bank balance: the money is committed but the check has not cleared yet. They also explain a stubborn reconciliation difference. If the month a check finally cleared never downloaded through the bank feed, convert that statement PDF to a .qbo file with the tool above and import the real transactions so every check can be matched and cleared. Here is how to enter, find, and clear outstanding checks in both versions of QuickBooks.
What is an outstanding check in QuickBooks?
An outstanding check is a check you have written and recorded in QuickBooks that the payee has not yet cashed, so it has not cleared your bank. QuickBooks shows it as uncleared in the account register. It lowers your book balance but is still missing from your bank statement until the day it clears.
How do I enter outstanding checks in QuickBooks Online?
In QuickBooks Online, select + New, then Check. Choose the bank account the check is drawn on, enter the payee, the check number, the date you wrote it, and the amount, then Save. The check posts to the register as uncleared and reduces your balance until the bank clears it on a future statement.
How do I enter outstanding checks in QuickBooks Desktop?
In QuickBooks Desktop, open the Banking menu and select Write Checks. Pick the bank account, enter the payee, date, check number, and amount, then assign the expense account and select Save and Close. The check appears in the register and stays uncleared until you mark it cleared during your next reconciliation.
How do I enter outstanding checks from a prior year or old accounting system?
When you set up a new QuickBooks file, enter the bank's opening balance as of a date on or before your start date, then record each outstanding check individually in the register with its original date and amount. They reduce your book balance and clear later when they appear on a downloaded statement.
How do I view a list of outstanding checks in QuickBooks?
In QuickBooks Online, go to Reports and open the Check Detail report. Select Customize, open the Filter section, set Cleared to Uncleared, choose your date range, and Run report. The result lists every check that has not cleared. In Desktop, run Reports, then Banking, then Missing Checks or the reconciliation detail report.
How do I run an outstanding check report in QuickBooks Online?
QuickBooks Online has no report literally named Outstanding Checks, so use the Check Detail report filtered to Uncleared. Go to Reports, search Check Detail, select Customize, under Filter set Cleared to Uncleared, choose All Dates, and Run report. You can also open the bank register and run a report from the View register dropdown.
Do outstanding checks show on the reconciliation report?
Yes. After you reconcile an account, the QuickBooks reconciliation report lists cleared transactions and a separate section for uncleared checks and payments, plus uncleared deposits. That uncleared section is your outstanding check list as of the statement date, and it explains the gap between the statement ending balance and your QuickBooks balance.
How do outstanding checks affect bank reconciliation?
Outstanding checks are timing differences, not errors. During reconciliation you leave them unchecked because they have not cleared the bank yet, and QuickBooks subtracts them so the cleared balance still matches the statement. Once a check finally clears on a later statement, you check it off and the difference resolves to zero.
How do I clear an outstanding check in QuickBooks?
Clear an outstanding check when it appears on your bank statement. Open Reconcile for that account, find the check in the Checks and Payments column, and select it so a checkmark appears. When the difference reads 0.00, finish the reconciliation. You can also match the check to its downloaded line in the bank feed.
What do I do with an old check that never cleared?
For a check still uncleared after about six months, first confirm the payee never cashed it. If it is truly stale, void it rather than delete it so your records stay accurate, then reissue if the debt is still owed. Many US states require unclaimed amounts to be reported as unclaimed property, so check your state rules.
Why is my QuickBooks balance lower than my bank balance?
Outstanding checks are the usual cause. You recorded the checks, so QuickBooks already subtracted them, but the bank has not paid them yet, so the bank still shows the higher balance. The two balances line up once every outstanding check clears. Deposits in transit can create the opposite gap.
Can I import missing transactions to match outstanding checks?
Yes. If the bank feed never pulled the month a check cleared, those payments are missing from QuickBooks and cannot be matched. Convert the bank statement PDF to a .qbo file and upload it, and QuickBooks adds the real cleared checks so you can match each one and reconcile the period cleanly.
Outstanding checks are usually a timing difference, but if a check was recorded twice or edited after it cleared, the fix is different: work through why your bank balance doesn't match QuickBooks and the full reconcile bank statements in QuickBooks workflow. If a cleared check was changed and broke an old reconciliation, see how to undo a reconciliation in QuickBooks. When the month a check cleared never downloaded, import old bank statements into QuickBooks to backfill it. Accountants cleaning up several clients can batch the conversions with the bank statement to QuickBooks tools for accountants. To audit which check is missing, a bank statement to Excel converter lays every line out in a spreadsheet, a CSV to QBO converter handles accounts that only export CSV, and automating vendor payments with accounts payable automation software means fewer paper checks go stale in the first place.
