To delete a bank account in QuickBooks Online, open Settings, then Chart of accounts, find the account, open the Action dropdown, and select Make inactive. QuickBooks does not truly delete a bank account that has transactions, because that would change your financial records; instead it hides the account while keeping its history. If the account has a live bank feed, disconnect it first so new transactions stop downloading.
People search for how to delete a bank account in QuickBooks for three different reasons: they connected the wrong account, they closed the real-world account, or they want to start over after a messy import. Each one has a different correct fix, and only one of them is an actual delete. Below is what disconnect, make inactive, and delete each do, the steps for QuickBooks Online and Desktop, and how to remove an old account without breaking your reconciliations.
How do I delete a bank account in QuickBooks Online?
Go to Settings, then Chart of accounts, and find the bank account. In the Action column, select the dropdown arrow and choose Make inactive, then confirm. The account disappears from your chart of accounts, lists, and dropdowns, but every transaction it held stays in your books for reporting and reconciliation. This is the closest thing to deleting a bank account in QuickBooks Online when the account already has activity.
Can you permanently delete a bank account in QuickBooks?
No, you cannot permanently delete a bank account that has recorded transactions, because removing it would alter your financial history. QuickBooks only lets you make such an account inactive, which hides it without erasing the data. An account with no transactions at all can be deleted outright, but any account you have actually used for checks, deposits, or reconciliation can only be deactivated, not destroyed.
What is the difference between disconnecting and deleting a bank account?
Disconnecting only stops the bank feed: QuickBooks no longer downloads new transactions, but the account and all its history stay in your chart of accounts, and you can reconnect later. Making an account inactive hides the account itself from your lists while keeping the transactions for reports. Disconnect when you just want the feed to stop; make inactive when you are done using the account entirely.
How do I disconnect a bank account from online banking?
In QuickBooks Online, go to Transactions, then Bank transactions, select the tile for the account, click the pencil or Edit icon, and choose Edit account info. Check the box for Disconnect this account on save, then Save and close. Any transactions sitting in the For review tab that you have not added will drop off when you disconnect, so categorize the ones you want to keep before you disconnect the feed.
How do I delete or disconnect a bank account in QuickBooks Desktop?
In QuickBooks Desktop, to stop the feed, open Lists, then Chart of Accounts, right-click the account, choose Edit Account, open the Bank Feed Settings tab, and select Deactivate All Online Services, then Save and Close. To hide an account, right-click it in the Chart of Accounts and choose Make Account Inactive. Desktop also keeps the transactions; inactivating just removes the account from active lists.
How do I make a bank account inactive in QuickBooks?
In QuickBooks Online, open Settings, then Chart of accounts, find the account, and choose Make inactive from the Action dropdown. In QuickBooks Desktop, right-click the account in the Chart of Accounts and select Make Account Inactive. The account stops showing up as a choice on new transactions and in dropdowns, while all of its past transactions remain in your reports and reconciliations untouched.
What happens to transactions when I make a bank account inactive?
Nothing happens to the transactions: they stay exactly where they are and continue to appear in your profit and loss, balance sheet, and reconciliation reports. Inactivating only removes the account from the lists and dropdowns you pick from when entering new transactions. If you ever need the account again, you can reactivate it by showing inactive accounts in the chart of accounts and selecting Make active.
Why can't I delete my bank account in QuickBooks?
You cannot delete it because the account has transactions tied to it, and deleting it would remove or orphan financial data. QuickBooks protects your records by only allowing inactivation in that case. If you genuinely added an account by mistake and never recorded anything in it, the option to delete it outright will be available; once even one transaction exists, deactivation is the supported path.
Can I delete a bank account and start over in QuickBooks?
You cannot wipe a single account clean and start over without affecting its history, but you have two real options. You can make the messy account inactive and set up a fresh account to begin recording into, or, for a brand-new company with very little data, start a new QuickBooks company file. Most businesses are better off keeping the history and fixing the account rather than starting from scratch.
How do I remove a closed bank account so it stops appearing as a payment choice?
If you closed the real bank account and no longer want it offered when receiving payments or recording deposits, make it inactive in the chart of accounts. Once inactive, it no longer appears in the Deposit to or payment-account dropdowns, but the historical deposits and checks remain for reconciliation. Reconcile the account to its final statement first so it ends at a zero or final balance before you deactivate it.
Will deactivating a bank account affect my reconciliation?
No. Reconciled transactions stay reconciled and your reconciliation reports for that account remain available even after you make it inactive. The account just stops appearing in lists for new work. Reconcile it up to its closing statement before deactivating so the account leaves a clean, balanced trail; that way nothing is left half-reconciled if you reactivate it later.
I disconnected a feed and lost recent transactions, how do I get them back?
When you disconnect a bank feed, only the uncategorized items still sitting in the For review tab drop off; anything you had already added stays in your books. To recover the dropped transactions, reconnect the feed or import the missing window from a file. Because bank feeds usually reach back only about 90 days, the reliable way to rebuild older activity is to run the statements through the bank statement to QBO converter and import the resulting files.
Disconnecting and deactivating handle the account itself; importing the right transactions is what keeps the books complete. When recent or older transactions go missing after a disconnect, import old bank statements into QuickBooks using the converter at the top of this page to turn PDF statements into a ready-to-import .qbo file. If you connected the wrong account and ended up with two registers, merge accounts in QuickBooks to combine them, then reconcile bank statements in QuickBooks on the account you kept and match transactions in QuickBooks as the feed downloads. If your records start life in a spreadsheet, the bank statement to Excel converter and the CSV to QBO converter cover that route, while receipt and expense OCR software keeps your supporting documents tied to the right account.
