To set up a credit card account in QuickBooks Online, go to Settings, Chart of accounts, New, choose the Credit Card account type, name it, and Save. Enter the opening balance and as-of date only if you are starting mid-stream rather than connecting the live feed. In QuickBooks Desktop, open Lists, Chart of Accounts, right-click New, pick Credit Card, name it, and Save. The new account then tracks every charge, payment, and the running balance you owe.

Setting up the credit card as its own account, not as an expense or a bank account, is what lets QuickBooks treat the balance as a liability you owe and reconcile it against the issuer's statement. Get the type and opening date right at the start and the first reconciliation lands clean instead of fighting a wrong beginning balance later. If the card already came in as a bank account, you can change the account type in QuickBooks before you reconcile.

Credit card account setup at a glance

The setup itself takes two minutes. The decisions around it, the account type, the opening balance and whether to connect the feed, are what determine whether the account reconciles later.

The distinction that catches people out: a bank account is an asset holding money you have, and a credit card account is a liability holding money you owe. Charges raise the balance owed and post to expense accounts; the payment you make to the issuer reduces it.

How do I set up a credit card account in QuickBooks Online?

Select Settings, then Chart of accounts, then New. In the Account type dropdown choose Credit Card, which sets the Detail type automatically. Give it a clear name like Amex Business or Chase Ink, then Save. If the card is connected to the bank feed, leave the opening balance blank and let the feed bring the starting balance and recent activity.

How do I set up a credit card account in QuickBooks Desktop?

Open Lists, then Chart of Accounts. Right-click anywhere and choose New, then select Credit Card as the account type and click Continue. Enter the account name and, if needed, an opening balance and date, then Save and Close. Desktop now shows the card in the chart of accounts ready to enter charges and payments.

What account type is a credit card in QuickBooks?

A credit card uses the dedicated Credit Card account type, which sits on the balance sheet as a liability. It is not an expense account and not a bank account. The Credit Card type makes the card available in the Pay down credit card and Make Deposits forms and lets you reconcile it against each monthly statement.

Should a credit card be a liability or an expense in QuickBooks?

It is a liability. The credit card account holds the balance you owe the issuer, and the individual purchases on it post to expense accounts. Booking the whole card as an expense would double-count costs and hide what you owe. Keep the card as a Credit Card liability and let each charge carry its own expense category.

How do I enter the opening balance for a credit card account?

Enter the opening balance only when you are not connecting the live feed. Use the balance from your last statement before you started in QuickBooks, and set the as-of date to that statement's closing date. QuickBooks posts the offset to Opening Balance Equity. If the card is connected, skip the opening balance so the feed doesn't create a duplicate starting entry.

How do I connect a credit card to the bank feed in QuickBooks Online?

Go to Transactions, then Bank transactions, and select Link account. Search for your card issuer, sign in with your online card credentials, and choose the credit card account you created. QuickBooks pulls in roughly the last 90 days of charges and payments for you to review and categorize. Older activity must be added manually or imported.

How do I set up credit card subaccounts for multiple cards?

Create a parent Credit Card account for the card program, then add an account for each cardholder and check Make this a subaccount under that parent. Charges post to each cardholder's subaccount while the parent shows the combined balance you reconcile against the single statement the issuer sends.

Can I set up a credit card account without connecting the bank feed?

Yes. Create the Credit Card account with the right name and opening balance, then enter charges and payments manually or import them from a statement. Many businesses skip the feed for privacy or because the issuer isn't supported. The account still reconciles against the paper statement exactly the same way.

What is the difference between a credit card account and a bank account in QuickBooks?

A bank account is an asset that holds money you have. A credit card account is a liability that holds money you owe. Charges raise the credit card balance and payments lower it, the reverse of a bank account. Using the Credit Card type, not a Bank type, keeps the reconciliation math and the balance sheet correct.

How do I record charges and payments on the new credit card account?

Record each purchase with + New, Expense, choosing the card as the payment account, which raises the balance owed. Record a payment with + New, Pay down credit card, which moves money from your checking account and lowers the card balance. In Desktop, use Enter Credit Card Charges and then Write Checks to the card account.

How do I add old credit card transactions when the feed only goes back 90 days?

The bank feed reaches back only about 90 days, so anything older won't download. Convert the older PDF statements into a .qbo file and upload it through Transactions, Bank transactions, then the Link account dropdown. That backfills the full history into your new account so the first reconciliation has a complete starting point.

How do I delete or hide a credit card account in QuickBooks?

QuickBooks won't fully delete an account that has transactions because it would break your history. Instead, open Chart of accounts, find the card, and choose Make inactive. The account hides from lists but its past transactions stay on your reports. Reactivate it later if you start using the card again.

Once the account is set up, learn how to enter credit card charges, pay a credit card, and record processing fees, then reconcile the credit card in QuickBooks each month. The pillar on getting a credit card statement into QuickBooks walks through the whole flow, and you can import old statements when the feed won't reach far enough back. If you also keep records in spreadsheets, you can convert statements to Excel, turn a CSV file into a .qbo, or automate accounts payable for the bills behind those charges.
