What Hubdoc actually costs

Hubdoc keeps its pricing unusually simple. There is one published standalone rate, no document tier ladder, and no per user charge. Usage is described as unlimited and you can add multiple collaborators on the same account, which matters for a bookkeeping team that wants a client's whole document pile in one place.

Two things on that table are worth pausing on, because they decide whether Hubdoc fits a QuickBooks workflow at all. The first is the Desktop row. The second is what Hubdoc does with a bank statement, which is not what most people assume.

Does Hubdoc work with QuickBooks?

Yes, Hubdoc integrates directly with QuickBooks Online. Its own partner documentation lists Xero and QuickBooks Online as the two accounting integrations, alongside Bill.com for payments. It does not integrate with QuickBooks Desktop, and Hubdoc states that plainly rather than leaving it vague. If your books live in Desktop or Enterprise, Hubdoc is not an option at any price.

For QuickBooks Online users the integration is genuine and useful. Hubdoc turns receipts, bills and invoices into coded transactions in QuickBooks Online with the source document attached, and supplier rules let you automate how a recurring vendor gets coded. That attachment behavior is the real reason firms like it: every posted transaction carries its own evidence, which makes a later audit or review far less painful.

What Hubdoc does with bank statements

This is the part that trips up buyers who find Hubdoc while searching for a bank statement tool. Hubdoc does extract transaction data from PDF bank statements, but the output is a CSV file, not a QuickBooks file. The extraction feature was built around importing into Xero, and the generated CSV is reviewed and then imported by hand. There is no .qbo or Web Connect output anywhere in the workflow.

For a Xero user that is fine. For a QuickBooks Online user it means an extra manual mapping step every month. For a QuickBooks Desktop user it is a dead end twice over, because Hubdoc does not connect to Desktop and Desktop has no CSV route for bank transactions at all. Desktop accepts bank activity in exactly one format, a .qbo Web Connect file.

Hubdoc's own troubleshooting documentation also sets real limits on what it will accept. These are worth knowing before you feed it a year of statements for a cleanup engagement.

The requirement that the document contain text is the one that catches people out on older records. A statement you scanned from paper, or downloaded as an image only PDF from an archive, has no text layer and will not extract. These are not competing products in the normal sense, and pretending otherwise would not help you buy. Hubdoc is a document hub: it collects paperwork, codes receipts and bills, and files everything with the transaction. Read honestly, Hubdoc is better value than we are for the job it was built for. Twelve dollars a month for unlimited receipt and bill capture with the document attached in QuickBooks Online is genuinely cheap, and we do not do that job at all. We are not the cheap option for .qbo output either, since that sits on our Plus plan. What we do that Hubdoc does not is read a bank statement, including a scanned one, reconcile it against the running balance, and hand back a file QuickBooks imports without hand mapping columns.

If most of your inbound work is receipts and supplier bills, Hubdoc is the better first purchase. If most of it is bank and credit card statements, especially historical ones for a cleanup, a converter earns its keep faster. Teams drowning in supplier paperwork specifically often pair a capture tool with something that pulls line level data out of the bills themselves, and dedicated invoice OCR software handles that side better than a general document hub does.

Is Hubdoc worth it for accountants and bookkeepers?

For a Xero practice, Hubdoc is close to a default, because it arrives with the Xero subscription and the bank statement extraction feeds the platform it was designed for. For a QuickBooks Online practice the calculation is different but still often positive: $12 a month per client file is not much against the hours saved chasing receipts, and the attached source document is a real control improvement.

The case weakens in three specific situations. If any client is on QuickBooks Desktop, Hubdoc cannot serve them. If your bottleneck is bank statements rather than receipts, you will still be mapping CSVs by hand every month. And if you routinely work with scanned or archived statements without a text layer, the extraction will refuse them.
