Yes, you can convert QuickBooks Online to Desktop. Intuit publishes a migration tool inside QuickBooks Online that exports your company as a QBXML file, which you then import from the No Company Open screen in QuickBooks Desktop. The catch is banking: the export moves your ledger, not your bank connection, and QuickBooks Desktop accepts bank transactions in exactly one format, a .qbo Web Connect file. Anything the export leaves behind has to come back in as .qbo, which is what this page is about.

There are two different official ways out of QuickBooks Online, and people mix them up constantly. One moves your transactions. The other moves only names and balances. Picking the wrong one is the single most common reason a conversion has to be redone from scratch.

Before you start, back up. An import into QuickBooks Desktop cannot be undone, so run it into a brand new company file rather than one you already have work in. Install and open QuickBooks Desktop first and leave it sitting on the No Company Open screen, because the migration tool looks for a running copy of Desktop and will not proceed without one.
Now the part that decides how much cleanup you are in for. Some things simply do not survive the trip, and none of them throw a warning at you.

How far back the transaction export reaches is the question everyone asks and the one with the least reliable public answer. Third party migration guides commonly quote a window of roughly the last 18 months, with anything older arriving as opening balances rather than individual transactions. Intuit does not publish that number in the places we can verify, so treat it as a planning assumption rather than a promise, and check what your own Export Overview page offers before you cancel anything. What matters practically is the shape of the problem: at some point in the past, detail stops and a balance starts.
That is exactly where a converter earns its keep. If you need real transaction detail for a period the export flattened into an opening balance, the statements are the source of truth, and QuickBooks Desktop will take them in one format only.

That third row is the whole reason this site exists. One more thing worth knowing before you commit to the move. QuickBooks Desktop 2023 lost support on May 31, 2026, and QuickBooks Desktop 2024 loses it on September 30, 2027. Enterprise is still sold and has no announced end date. An out of support version does not stop opening, and your file stays readable, but anything that talks to Intuit's servers goes quiet, and that includes bank feeds. If you are converting onto a version that is already past its date, plan on statement conversion being your permanent banking workflow rather than a stopgap.

Yes. Intuit provides a migration tool inside QuickBooks Online that exports your company data as a QBXML file, which QuickBooks Desktop imports from the No Company Open screen. It is a supported path, not a workaround. What it does not move is your bank and credit card connections, your attachments, your audit log or your reconciliation history, so budget time for rebuilding those after the data lands.
Install and open QuickBooks Desktop and leave it on the No Company Open screen. In QuickBooks Online, go to the Export Overview page, select Get Started, and download the migration tool. Choose whether to export all financial data or all financial data without transactions, enter your name and email, and wait for the confirmation email. Then open the migration tool, browse to the QBXML file, and import it.
The export itself happens from the Export Overview page in QuickBooks Online, not from QuickBooks Desktop. You request the export, Intuit prepares it, and you receive a QBXML file. Large company files can take hours to prepare, so start the export before you plan the import rather than trying to do both in one sitting.
You need a currently installed US edition of QuickBooks Desktop, opened and sitting at the No Company Open screen, before the migration tool will run. Intuit does not publish a clean public matrix of which years and editions the importer accepts, and community reports cover Pro, Premier and Enterprise on recent versions. Confirm against your specific version before you buy a license purely for a conversion.

QuickBooks Desktop imports bank transactions through Web Connect, which means a .qbo file. You can download one from your bank if it offers QuickBooks downloads, set up Direct Connect if your bank supports it, or convert the statement PDF into a .qbo file yourself. The conversion route is the only one with no date restriction, so it is what people use for older periods and closed accounts.
No. QuickBooks Desktop has never accepted a CSV of bank transactions. QuickBooks Online does accept a CSV bank upload, but Desktop does not, and the free QuickBooks Import Excel and CSV Toolkit does not change that, because it covers lists such as customers, vendors, items and the chart of accounts only. If your data is in a spreadsheet, it has to become a .qbo file first.
No. Reconciliation history does not come across, which means your first reconciliation in Desktop starts from the imported balances rather than from a prior reconciled state. Pull and save your QuickBooks Online reconciliation reports as PDFs before you cancel the subscription. Once the subscription lapses you cannot get them back.
QuickBooks Desktop 2024 is the last non Enterprise version and it loses support on September 30, 2027. You can convert into it today, but you are converting onto a product with a known end date for connected services. If banking matters to you, assume bank feeds will stop on that date and that statement conversion to .qbo will be how transactions get in afterward.
The export request itself is quick, but preparation on Intuit's side ranges from minutes to several hours depending on file size, and you are notified by email. The import into Desktop is usually the fast part. The real time cost is afterward: rebuilding bank connections, recurring transactions, attachments and payroll, then reconciling the opening balances against statements.
Stay online if you need multiple users in different locations, live bank feeds and app integrations, and you are comfortable with a subscription. Convert to Desktop if you want a one time license, local data, and job costing or inventory behavior that Desktop still does better. Be honest about the banking tradeoff: Desktop's connected services are on a published sunset schedule, and converting statements to .qbo is the durable way to keep bank data flowing into a Desktop file.
